Position Summary
The Project Coordinator is responsible for managing and overseeing assigned projects from the point of sale through installation completion. This role ensures that all projects are completed within an average of 90 days from the sale date.
The Project Coordinator serves as a key liaison between the Sales and Operations teams, ensuring seamless communication and delivering an exceptional experience to both customers and sales representatives.
Key Responsibilities
Project Management
- Manage projects from “sold” stage through installation completion
- Ensure all projects progress efficiently through each phase
- Maintain an average project completion timeline of 90 days
Communication & Coordination
- Act as the primary point of contact between Sales and Operations
- Maintain consistent communication with customers and sales representatives
- Conduct Notice to Proceed calls and any additional calls required to move projects forward
- Ensure timely follow-ups and clear communication throughout all stages of the project
- Deliver a high-quality customer and sales representative experience
Daily Reporting & CRM Management
Review and update all required reports daily:
- Customer Stage and Status Report
- Notice to Proceed (NTP) Report
- Task Report
Identify delays and proactively take action to keep projects on track
Notice to Proceed Management
Drive completion of:
- Finance Complete
- Construction NTP Complete
Conduct NTP calls to confirm required information and missing documentation
Collaborate with clients, sales representatives,
and assistants to resolve outstanding items
Coordinate change orders with the appropriate specialist
Ensure financial approvals are obtained before moving forward
Permitting & Documentation
Track required documents (POA, NOC, NTBO) and follow up as needed
Monitor permitting progress and communicate with assigned permit technicians
Escalate delays or issues impacting timelines
HOA Coordination
Maintain communication with relevant parties to track approval status and avoid delays
Special Case Management
Support reroofs cases by coordinating documentation and follow-ups
Manage situations that may impact project continuation or closure
Installation Completion
Work closely with the scheduling team to ensure projects are fully ready for installation and completion
Confirm all requirements (documentation, approvals, and dependencies) are resolved prior to completion

Qualifications
- Previous experience in project coordination or similar roles
- Familiarity with process tracking, documentation, and reporting
- Bilingual (English/Spanish) preferred
