The Front Desk Receptionist serves as the first point of contact for clients reaching out to the firm. This role focuses on answering calls, collecting basic information, returning calls, scheduling and tracking follow-ups, and coordinating communication between clients and the corresponding team.
The position also supports internal team members by making outbound calls when requested, taking messages for team members, and clearly communicating the reason for each call or message, while ensuring all client communication is properly documented and organized.
**Key Responsibilities**
- Answer incoming calls and serve as the first point of contact for clients
- Collect basic client information and pass it to the corresponding team
- Return client calls and schedule follow-ups as needed
- Schedule calls and follow-ups in the firm’s calendar
- Make outbound calls when requested by team members
- Take accurate messages for team members and communicate the reason for each call
- Log calls,
messages, and follow-up activity accurately
- Maintain organized and up-to-date communication records
**We Are Looking for Someone Who**
- Is fluent in English, with clear and professional verbal and written communication
- Has strong phone communication and customer service skills
- Is organized, reliable, and detail-oriented
- Is comfortable managing calendars, calls, and follow-ups
- Can follow instructions and internal communication procedures
- Is comfortable working with call systems and basic computer tools
- Can handle a high volume of calls and requests while staying professional
- Has prior experience as a receptionist, call center agent, or similar role
- Can work full-time in a remote environment without close supervision
