We are looking for a highly organized, detail-oriented, and proactive Executive Operations Coordinator to support our CEO and leadership team.

This is not a traditional “assistant” role. This position sits at the intersection of executive support, client coordination, CRM management, and operational execution.

Position Overview

The Executive Operations Coordinator will help manage the day-to-day administrative and operational functions that keep the business moving efficiently. This role requires exceptional attention to detail, strong organizational skills, professional communication, and the ability to manage multiple priorities in a fast-paced environment.

The adecuado candidate is highly dependable, tech‑comfortable, organized, and takes pride in accuracy and follow‑through.

Key Responsibilities

- Executive & Administrative Support
- Manage CEO calendar, scheduling, and meeting coordination
- Coordinate internal and external meetings with clients and partners
- Prepare daily executive email summaries and priority tracking
- Ensure meeting invitations, links, times, and attendee details are accurate
- Help protect calendar flow and scheduling efficiency

Client & Team Coordination

- Respond to client scheduling and administrative requests
- Follow up internally on open client items and action steps
- Assist with recurring client communication and document requests




- Maintain professionalism and accuracy in all written communication

CRM & Operations Support

- Maintain CRM data accuracy and organization
- Update weekly pipeline and CRM summary reports
- Enter and organize leads, contacts, and client data
- Assist with operational tracking and recurring reporting
- Support AI and automation initiatives across the business
- Assist with workflow documentation and process improvements
- Coordinate website lead intake and CRM integration processes
- Learn and adapt to new software tools and technologies as needed

Qualifications

- 2+ years of experience in executive support, office administration, operations coordination, or similar role preferred
- Strong written and verbal English communication skills
- High attention to detail and organizational ability
- Strong follow-through and task ownership
- Comfortable working with technology and learning new systems
- Proficiency in Microsoft Office, especially Outlook and Excel
- Experience with CRM systems preferred
- Ability to manage multiple priorities and deadlines simultaneously
- Professional, dependable, and highly organized
- Proactive and solutions-oriented
- Strong proofreading and communication discipline
- Calm under pressure and able to prioritize effectively
- Self‑starter with strong learning agility
- Process‑oriented while remaining adaptable
- High personal accountability and reliability
