The Role
This is a broad, high-ownership role at the center of the agency's operations.
You will manage contractors, own core people and HR processes, support vendor relationships, maintain systems access, and ensure new hires are onboarded seamlessly and set up for success.
You will report directly to the founder and have significant autonomy to figure things out and make them better.

Key Responsibilities
People & HR
Lead full-cycle recruiting, from recruiting, to interviewing, to onboarding
Own new hire onboarding and setting new hires up for success with system access and tools
Oversee employee relations, including review schedules, performance review cycles, and separations
Administer employee benefits, including health insurance, FSA/HSA programmes, and 401(k) in coordination with external pension advisors
Contractor & Payroll Administration
Process and manage payroll
Maintain and communicate team PTO, availability and absences to ensure visibility across the organization
Systems & Tools Administration
Act as system administer across all company platforms, including: 1Password, Wrike, Google Workspace, Slack, HubSpot, and more
Maintain domains, licenses, and media accounts; ensure compliance and support billing and fraud resolution as needed
Client Onboarding & Billing Support
Generate client setup links and confirm billing start dates with internal billing staff
Coordinate with the billing team to ensure new clients are correctly set up and billed from day one
Business Support
Manage recurring team meetings and coordinate ad-hoc internal meetings; ensure the right people are in the room
Liaise with external accountants and pension administrators on contributions, census submissions, and annual filings
Maintain phone number inventory and other operational tracking spreadsheets
Assist with insurance renewals and vendor contract reviews
Support additional business and operational needs as they arise
What We Are Looking For
Must-haves
3+ years in an operations, office management, or people ops role — ideally at a small-to-medium agency
Experience running HR end-to-end: recruiting, onboarding, reviews, benefits, and contractor management
Highly organized and systems-minded – you build checklists, track everything, and nothing falls through the cracks
Comfortable managing multiple open threads at once without losing the plot
Strong written communication – you represent the company in emails to vendors, recruiters, and external partners
Tech-comfortable – you can get up to speed quickly on new tools and manage access across multiple platforms
Discreet and trustworthy – you will handle confidential HR, financial, and operational information
Comfortable with AI tools and curious about how they can improve how you work – we are actively building AI into our operations and want someone who leans into that, not away from it
Nice-to-haves
Experience in a digital marketing agency
Familiarity with tools like Wrike, HubSpot, Google Workspace, Slack, 1Password, and PandaDoc
Experience managing remote or international contractor teams
Basic understanding of US benefits administration (health insurance, 401k)
Familiarity with EOS business management system
Availability in the U.S. Eastern Time (EST) hours preferred
