This is a critical finance function requiring precision, confidentiality, and a strong understanding of U.S. payroll systems and regulations.

Key Responsibilities

- Process bi-weekly and/or semi-monthly U.S. payroll using Gusto
- Maintain and reconcile payroll records in QuickBooks
- Ensure accurate calculation of wages, bonuses, commissions, and deductions
- Manage employee onboarding and offboarding in payroll systems
- Administer benefits, PTO tracking, and payroll-related adjustments
- Prepare and process payroll tax filings and ensure compliance with federal and state regulations
- Handle payroll-related inquiries from employees in a timely and professional manner
- Generate payroll reports for internal finance and leadership teams
- Support audits and ensure proper documentation and record-keeping
- Collaborate with HR and accounting teams to ensure alignment across systems
- Support firm-wide initiatives, process improvements,



and administrative needs
- Perform other duties as required to ensure smooth operations across teams

Qualifications and Requirements

- Minimum 3+ years of experience processing payroll in the United States
- Hands-on experience with Gusto and QuickBooks (required)
- Strong understanding of U.S. payroll laws, tax regulations, and compliance requirements
- High level of accuracy and attention to detail
- Ability to handle confidential information with discretion
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- Experience supporting professional services firms (law firm experience is an asset)
- Two professional references and a valid criminal background check issued within the last 60 days are required for all successful applicants.
- Completion of intake paperwork, including submission of a valid tax identification number (e.g., Social Security Number, Social Insurance Number, or the country’s equivalent), is required before onboarding.

Preferred (Not Required)

- Experience working with multi-state payroll
- Familiarity with law firm environments or professional services organizations
- Exposure to benefits administration and HR coordination
