Org. Setting and Reporting
- This position is located in the Regional Office for the Andean Region and the Southern Cone (ROCOL), Division for Operations (DO), United Nations Office on Drugs and Crime (UNODC) in Bogotá, Colombia. The incumbent will work under the direct supervision of the Head of the Programme Unit and overall guidance of the ROCOL Deputy Representative.
- Responsibilities
- Within delegated authority, the Programme Assistant will be responsible for managing and organizing administrative, financial, technical, and monitoring activities to ensure compliance with programme commitments, following UNODC rules and procedures and may be responsible for the following specific duties: Budget and Finance - Manage the monitoring processes for the programme's various grants, as well as the reports generated by the system. - Manage all administrative and financial processes for implementing partners in the system. - Assist in reviewing progress reports for the programme's various agreements.
- Manage the budget allocation processes for each new grant in accordance with its conditions in the system. - Review budget revisions; verifies availability of funds; ensures necessary approval and entry in computerized budget system. - Compile, summarize and enter data on project delivery; drafts related status reports, identifying shortfalls in delivery, budget overruns, etc., and brings to the attention of management. - Draft correspondence on budget-related issues and prepare and update periodic reports, briefing notes, graphic and statistical summaries, accounting spreadsheets, etc. - Manage fund commitment processes for programme collaborator fees. - Provide support and manage petty cash processes for the programme's regional offices, ensuring control and monitoring thereof. General Administration - Draft routine correspondence to respond to enquiries in respect to relevant administrative, financial audit, personnel matters. - Perform other related administrative dut
