About the Role

As the Executive Project Manager, you will own the coordination, visibility, and execution accountability of strategic projects across every . This is a senior role with direct access to leadership and real impact on how the company operates day to day.

This role sits at the center of the company — working closely with the VP of Operations, C-suite, and department heads to translate strategic decisions into actionable project plans and measurable outcomes.

This is an adecuado role for a PM who has operated inside a marketing agency or high-growth service company, is fluent in English, and is ready to work at a company where operations, performance, and impact are at the core of the culture.

What You’ll Do

Cross-Functional Project Ownership

- Lead and coordinate strategic initiatives spanning multiple departments simultaneously: Media, Tech, Sales, Operations, Finance, and Delivery
- Own project timelines, milestones, and delivery accountability from kick-off through completion
- Maintain full project visibility across the organization through structured dashboards, status reports, and executive updates
- Run project kick-off meetings, weekly standups, retrospectives, and milestone reviews with department leads
- Proactively identify blockers, risks, and dependencies before they become escalations

Executive & Stakeholder Communication





- Serve as the primary project communication layer between leadership and delivery teams
- Produce executive-ready status reports, project scorecards, and cross-departmental summaries on a weekly and monthly cadence
- Partner with the VP of Operations and C-level team to prioritize the project portfolio based on company OKRs and capacity
- Translate strategic decisions into actionable project plans with clear ownership, timelines, and success criteria

Process Design & Continuous Improvement

- Design, document, and standardize project management workflows, SOPs, and templates across the organization
- Audit existing processes across departments and identify opportunities for operational efficiency
- Build and maintain a centralized project portfolio view that gives leadership real-time clarity on all active initiatives
- Champion adoption of PM tools and methodologies across departments

Resource & Capacity

- Planning Coordinate with department managers to forecast resource needs, flag capacity constraints, and resolve cross-team scheduling conflicts
- Ensure that project scope, timelines, and resource allocation are realistic and aligned before projects launch
- Track project health across the portfolio and escalate when bandwidth, budget, or scope risks emerge

What You Bring

- 5+ years of experience in project management, with at least 2 years in a company-wide or cross-department PM capacity at a marketing agency or high-growth service company




- Proven track record delivering complex, multi-department projects on time and within scope
- High proficiency in at least one PM platform: Click Up (preferred), Asana, Monday.com, or Jira
- Proven fluency in at least two PM methodologies: Agile/Scrum, Kanban, OKR-driven PM, RACI, Waterfall/Hybrid, or Critical Path Method
- English C1+: written and spoken fluency for executive communication and cross-functional coordination with US-based leadership
- Ability to produce executive-ready documentation, reports, and project updates without extensive rework
- Strong organizational skills and the ability to manage multiple concurrent initiatives, timelines, and stakeholders
- Confident facilitating meetings with C-level executives, department heads, and delivery teams

Bonus if you have experience with:

- EOS (Entrepreneurial Operating System): Rocks, L10 meetings, scorecards, and accountability charts
- Behavioral health, healthcare marketing, or a mission-driven service organization
- Agency operations: SOW management, retainer model economics, and client delivery workflows
- Workflow automation tools connected to PM platforms (Zapier, Make)
- PMP, PMI-ACP, or CAPM certification
