Project Scheduling Coordinator (Bilingual – English/Spanish)

Roofs in a Box is hiring a Project Scheduling Coordinator to support a well‑established U.S.-based residential roofing company. This role is critical to ensuring roofing projects move smoothly from permit approval through final completion.

This role is the operational heartbeat between permits, scheduling, crews, and installs. The job is to keep jobs moving, crews informed, and installs clean, on time, and organized. This role owns scheduling flow and daily install coordination so production does not stall and chaos does not creep in. It is execution and coordination, not sales, project management, or finance.

Core Responsibilities

- Own the schedule once permits are approved.
- Schedule installs efficiently based on crew availability, materials, and priority.
- Coordinate roofing, gutters, metal, soffit, fascia, and follow‑up work.
- Adjust schedules quickly when weather, materials, or crews shift.
- Ensure no job sits idle due to lack of scheduling follow‑up.

Daily Install Ops Communication

- Speak with install teams every morning to:
- Confirm what is being installed that day.
- Identify blockers before crews arrive on site.
- Handle admin or coordination issues so crews can just install.

- Be the main point of contact for install‑related questions during the day.
- Escalate issues early, not after something breaks.

Job File Accuracy (JobNimbus CRM)

- Review each job before scheduling to ensure:
- Scope is clear.
- Materials are ordered.
- Permits are approved.
- Crew instructions are correct.

- Flag missing or incorrect info and chase it down.
- Keep job notes,



dates, and statuses clean and current.

Customer Scheduling Communication

- Communicate install dates and timing windows to customers.
- Handle reschedules professionally and calmly.
- Keep customers informed without overpromising.
- Reduce inbound calls by being proactive.

Warranty & Follow‑Up Coordination

- Track and schedule warranty work.
- Coordinate crews for punch list or repair items.
- Ensure warranty work is documented and closed out properly.

What This Role Does Not Own

- Selling or upselling.
- Job costing or financial reporting.
- Crew payroll or compensation.
- Contract negotiation.

Required Skills & Qualifications

- Minimum of 3 years in project coordination, scheduling, or project management (construction industry strongly preferred).
- Fluent, professional‑level English and Spanish (spoken and written). This role is not suitable for candidates with basic or intermediate English.
- Bachelor’s degree preferred (Business Administration, Construction Management, Engineering, or related fields).
- Experience with JobNimbus or similar construction CRM/project management tools.
- Strong working knowledge of Google Sheets and Microsoft Excel.
- Ability to communicate professionally with U.S.-based stakeholders, vendors, and crews.
- Proven ability to manage multiple projects and priorities simultaneously.
- Comfortable with budgeting, cost tracking, and reporting.
- Capable of resolving scheduling, delivery, and compliance issues efficiently.
- Preferred: Roofing materials, construction terminology, and Florida permitting processes knowledge.
