Role Overview

We are seeking an Intake & Billing Specialist to manage client intake from first contact through onboarding, while handling some ongoing billing and initial payment processes. This role is the firm’s first point of contact and plays a critical role in client experience and revenue flow.

Schedule:

Monday to Friday from 9:00 AM to 6:00 PM EST (USA)

Your Responsibilities Will Include but Are Not Limited To:
- Scheduling consultations and conducting structured follow-ups
- Answering and managing incoming calls
- Screening potential clients,



gathering key information, and creating leads in LawMatics
- Documenting all client communications accurately
- Ensuring adherence to firm SOPs and workflows
- Monitoring outstanding balances and following up on payments
- Reviewing and editing time entries for clarity and proper legal billing language
- Maintaining accurate documentation and managing intake calendars
- Transitioning retained clients into active matters and notifying internal teams
- Preparing and sending retainer agreements using firm templates

What We’re Looking For:
- Strong phone, communication, and client service skills
- Ability to multitask and manage high call volume
- Detail-oriented with strong organizational skills
- Familiarity with legal billing processes preferred
- Reliable computer setup (laptop/PC, headset, stable internet min. 10 Mbps download / 5 Mbps upload)
- Quiet, distraction-free remote work environment
