THE ROLE
You’ll be our dedicated Executive Assistant, supporting five executive team members. Our leaders and team are spread across time zones, which means calendars, handoffs, and follow-through are where time quietly leaks. That’s the gap you’ll close. You’ll own the executive team’s time and keep the operating rhythm running — protecting focus, clearing conflicts before they land, and making sure nothing falls between people. Done well, this role is invisible: meetings just work, travel just happens, and the people you support spend their attention on the things only they can do.
What You’ll Own
Time & Calendars
- Own and defend complex, multi‑time‑zone calendars for several executives
- Resolve scheduling conflicts proactively and protect focus time
- Keep a clear view of priorities so the right things get the right hours
Meetings & Cadence
- Schedule and prep cross‑functional meetings, agendas, docs, and follow‑ups
- Run recurring operating cadences: planning weeks, leadership syncs, and offsites
Communications
- Triage inboxes, flag what matters, and draft clear correspondence on behalf of the team
- Act as a calm, reliable point of contact across the company
Travel & Logistics
- Coordinate domestic and international travel and itineraries
- Keep expense reports accurate and on time
Special Projects
- Carry the occasional special project end to end
- Serve as a trusted, discreet partner with access to confidential information
HOW YOU THINK
- You anticipate. You see the conflict before it lands on the calendar and handle it before anyone notices.
- You protect time
