Job Summary: The Transaction Operations Specialist is responsible for supporting the successful processing and administration of real estate transactions while serving as a key point of contact for agents and internal stakeholders. This role combines transaction processing responsibilities with operational support functions, ensuring transactions move efficiently through the transaction lifecycle while providing exceptional customer service and communication. Working closely with agents, Compliance, Accounting, and other operational teams, the Transaction Operations Specialist reviews and maintains transaction information, manages inquiries and support requests, facilitates communication between departments, and helps ensure transactions are processed accurately and in accordance with company policies and procedures.

Essential Duties and Responsibilities

Process and support assigned real estate transactions throughout various stages of the transaction life cycle

Review, maintain, and update transaction information within company systems and databases

Manage transaction-realted inquiries and support requests received through company communication channels

Serve as a liaison between agents and internal departments to facilitate communication and issues resolution

Coordinate workflow activities and monitor transactions to support timely completion

Communicate professionally with agents,



transaction coordinators, and internal teams regarding transaction status, documentation, and requests

Identify discrepancies, missing information, or operational concerns and escalate as appropriate

Maintain accurate records, tracking tools, and documentation supporting transactions and operational workflow

Collaborate with compliance, accounting, and other departments to support transaction completion and service delivery

Support process improvement initiatives that enhance productivity, accuracy, communication, and agent experience

Adhere to company policies, procedures, compliance requirements, and established service standards

Handle inbound/outbound phone calls with Agents and staff members Performance Expectations

Deliver exceptional customer service with professionalism and responsiveness

Maintain a high degree of accuracy and attention to detail

Effectively manage multiple priorities in a fast-paced environment

Demonstrate strong communication, organization, and follow-up skills

Meet established productivity, quality, and service-level expectations

Accurately assess, prioritize, and route requests when collaboration with other departments is required

Contribute to a positive team culture and exceptional agent experience Required Qualifications

High school diploma or equivalent required

Minimum one (1) year of administrative, customer service, operations, transaction coordination, or related experience

Strong written and verbal communication skills in both Spanish and English





Excellent organizational and multitasking abilities

Strong attention to detail and commitment to accuracy

Ability to work independently and collaboratively within a team environment

Strong problem solving and critical thinking skills

Proficiency with Microsoft Office applications, including Outlook, Word and Excel Preferred Qualifications Experience in real estate, title, escrow, mortgage, transaction coordination, brokerage operations or related industries

Experience supporting both operational workflows and customer service functions

Familiarity with transaction management systems, compliance workflows, or commission processing

Experience with SkySlope, Brokerage Engine, Zoho, Microsoft Teams, or similar business applications

Process Compliance Work Environment This position primarily operates on site in Colombia but is remote with US Realty of America Staff in a technology driven environment, requiring extensive use of transaction management systems, support platforms, email and collaboration tools. The role requires frequent interaction with agents, transaction coordinators, and internal departments while managing multiple transactions, requests, and competing priorities. Success in this roles is measured by transaction accuracy, responsiveness, quality of customer service, effective communication, operational efficiency, adherence to established processes, and the ability to provide a positive experience for agents and internal stakeholders throughout the transaction lifecycle.

Salary up to $3.5 Million pesos
