Temporary Visual Merchandising Project Coordinator

Location: Colombia

Department: Marketing

Reports to: Visual Merchandising Associate Director Company Overview

Dolce & Gabbana Beauty is the in-house Beauty division of Dolce & Gabbana, bringing the brand’s heritage, creativity, and craftsmanship to the fragrance and makeup categories.

Role Overview The role will support Visual Merchandising initiatives across the US by coordinating campaign management, POSM forecasting, Capex and expense tracking, vendor onboarding, purchase orders, production, logistics, permanent counter maintenance, planogram development, and project documentation. Key Responsibilities

Campaign and Database Management

Manage and maintain the Visual Merchandising campaign database for the US. Ensure campaign information, project timelines, materials, and implementation details are accurate and up to date. Maintain the Capex database and related project documentation.

Track

Specialty and Boutique counter updates across the region. POSM Forecasting and Ordering

Support the forecasting of permanent and temporary Point of Sale Materials (POSM) for Makeup and Fragrance. Manage orders for locally produced Visual Merchandising materials. Coordinate POSM and visual updates for permanent counters. Partner with internal teams and vendors to ensure materials are produced and delivered according to project timelines. Capex, Budget and Expense Management

Maintain the Visual Merchandising Capex and expense budget trackers for the US market. Support budget tracking, reporting, and reconciliation for Visual Merchandising projects. Monitor project expenses and ensure alignment with approved budgets by maintaining accurate records of costs, invoices, purchase orders, and project-related expenses.

Support Purchase

Order creation, processing, and follow-up as needed.

Vendor

Management and Onboarding

Support the onboarding and management of Visual Merchandising vendors. Coordinate documentation required for new vendor setup and approval. Follow up with vendors regarding quotations, production timelines,



invoices, and deliveries. Partner with vendors and internal stakeholders to ensure repairs, visual updates, and improvements meet brand standards.

Maintain updated vendor records and project documentation. Production, Shipments and Logistics

Coordinate the production, shipment, and delivery of Visual Merchandising materials. Support logistics for permanent and temporary projects across the US. Track production and shipping timelines to ensure materials arrive according to project needs. Coordinate with vendors, internal teams, and logistics partners to resolve delivery or production issues.

Visual Merchandising

Books and Planograms

Manage the development of the biannual Visual Merchandising Book and maintain it organized with records of current and historical planograms. Coordinate the creation and update of Makeup and Fragrance planograms for the US.

Ensure Visual

Merchandising guidelines, planograms, and supporting materials are accurate and distributed on time.

Installation

Documentation

Coordinate professional photography of permanent and temporary Visual Merchandising installations. Ensure completed installations are properly documented and aligned with brand guidelines. Organize and maintain a database of installation photographs for reporting and future reference. Follow up with local teams to collect installation photos and confirm project completion. Qualifications

Bachelor's degree in Visual Merchandising, Marketing, Business, Design, or a related field. Previous experience in Visual Merchandising, retail, project coordination, or a related area. Strong organizational skills and attention to detail.

Ability to manage multiple projects, priorities, and deadlines in a fast-paced environment. Strong proficiency in Microsoft Excel and PowerPoint. Strong communication and collaboration skills. Self-starter with the ability to work independently, take ownership of projects, and proactively drive tasks to completion.

Experience managing budgets, purchase orders, vendors, or logistics is preferred.

Experience in luxury beauty, cosmetics, fragrance, fashion, or retail is a plus.
