About the Role The DOT Compliance Clerk is responsible for supporting the company’s compliance with all Department of Transportation (DOT) and Federal Motor Carrier Safety Administration (FMCSA) regulations. This role ensures driver qualification files, vehicle records, and compliance documentation are accurate, complete, and maintained in accordance with federal and state regulations. The Compliance Clerk plays a critical role in maintaining safe operations and audit readiness.

Key Responsibilities

Driver Qualification & Records

- Track and verify driver licenses, medical certificates, endorsements, and expirations
- Manage DOT quarterly drug/alcohol randoms program
- Monitor Motor Vehicle Reports (MVRs) and follow up on violations or discrepancies
- Manage and monitor citation/violation program

DOT & FMCSA Compliance

- Ensure compliance with DOT, FMCSA, and applicable state regulations




- Track corrective actions and ensure timely resolution of compliance issues
- Maintain records related to hours of service (HOS), ELD compliance, and violations
- Track that all drivers are login in daily before their shift. Provide reports to operations of driver not in compliance.

Reporting & Documentation

- Enter and update compliance data in systems such as Samsara ELD platforms
- Generate compliance reports and dashboards as requested
- Maintain organized digital and physical filing systems

Communication & Support

- Communicate compliance requirements to drivers and internal teams
- Assist drivers with compliance-related questions and ELD Training
- Coordinate with Safety, Operations, and HR teams to ensure alignment

Required Qualifications

- Associate degree preferred
- 1–2 years of experience in DOT compliance, safety, or transportation administration preferred
- Working knowledge of FMCSA regulations (49 CFR)
- Strong organizational and attention-to-detail skills
- Proficient in Microsoft Office (Excel, Word, Outlook)
- Ability to handle confidential and sensitive information

Preferred Skills & Experience

- Experience with ELD systems (e.g., Samsara, Motive, Omnitracs)
- Familiarity with DOT audits and compliance reviews
- Strong written and verbal communication skills
- Ability to prioritize tasks and meet deadlines in a fast-paced environment

Physical & Work Environment

- Primarily office-based with extended periods of sitting and computer use
- Occasional interaction with drivers in terminal or yard environments
