Panel Clerk Role:

*Review case records, including but not limited to determination letters, Notice or Representation, Application for Adjudication, to determine the appropriate QME specialty and verify client and opposing counsel information.

*Requesting original and replacement panels through the DWC website or ADR program

-For ADR - expeditiously process requests after obtaining the determination letter to ensure the panel is obtained before the ADR deadline, usually 30 days. Note- there are different ADR programs, therefore deadlines may differ

-Originals panels to be requested 20 days after the determination letter.

-Replacement panels need to be requested no later than 3 days after assignment. Ensure proof is provided with the request*

*Oversee the panel striking process and ensure timely service of all panel-related documents. Panels must be struck within 10 days of the panel's assignment. The mailbox rule applies to panel strikes, extending the 10‑day period by 5 calendar days if the panel is served by mail.

*Maintain organized workflows and ensure all necessary queues are cleared at all times

Position Summary

The Workers’ Compensation QME Panel Clerk is responsible for managing the Qualified Medical Evaluator (QME) panel process from initiation through panel issuance. This role requires a high level of accuracy, organization, and attention to detail while handling large volumes of cases, emails, and deadlines. The QME Panel Clerk works closely with attorneys, case managers, clients, opposing counsel, and the California Division of Workers' Compensation (DWC) Medical Unit to obtain, process, and monitor QME panels in both traditional workers' compensation cases and Alternative Dispute Resolution (ADR) matters.

Essential Duties and ResponsibilitiesQME Panel Administration

- Prepare and submit QME panel requests to the DWC Medical Unit.




- Review and process issued QME panels for accuracy and compliance.
- Perform panel strikes in accordance with statutory deadlines and procedures.
- Calendar and track all panel-related deadlines.
- Monitor panel status and follow up on pending requests.

Replacement Panel Requests

- Review files to determine eligibility for replacement panels.
- Prepare and submit replacement panel requests to the DWC Medical Unit.
- Gather supporting documentation and correspondence necessary to support requests.
- Track replacement panel submissions and outcomes.
- Escalate disputes or denials to attorneys when necessary.

ADR Panel Processing

- Process QME and evaluator requests through Alternative Dispute Resolution (ADR) programs.
- Ensure compliance with ADR-specific procedures, deadlines, and requirements.
- Coordinate with ADR administrators, defense representatives, and internal staff regarding panel selection and evaluator assignments.
- Maintain accurate records of ADR communications and outcomes.

Case Management and Communication

- Handle a high volume of inbound and outbound emails daily.
- Communicate professionally with clients, attorneys, opposing counsel, medical providers, and administrative agencies.
- Maintain detailed notes and documentation within the firm's case management system.
- Identify and resolve discrepancies in medical, claim, and panel information.
- Provide status updates to attorneys and management regarding pending panel requests and issues.

Administrative Responsibilities





- Maintain accurate electronic case files and records.
- Utilize case management software to track workflows and deadlines.
- Generate reports and assist with audits of panel-related processes.
- Ensure all correspondence and submissions meet quality and compliance standards.

*Manage high volume communications. Unread emails should not exceed 2-3 days in your inbox and there should not be more than 50 unread emails at any given time.
