Position Overview
The Case Manager (Client Experience) is a client communication role within our Workers' Compensation department. The job is to keep clients informed, confident, and supported from the day they walk in the door until their case is resolved.
Workers' compensation claims are slow, often stretching on for months or years. Much of that time is spent waiting on a claim decision, treatment authorization, a QME evaluation, permanent and stationary status, or a settlement. During those quiet stretches, clients can feel like their case has stalled or that they've been forgotten. The Case Manager (Client Experience) makes sure that never happens by staying in regular contact, explaining where things stand and what comes next, and answering questions along the way.
Key Responsibilities
Serve as a consistent point of contact for assigned clients across the full claim lifecycle, proactively reaching out on a regular, scheduled cadence (phone, text, and email) and taking inbound inquiries
- Guide clients through each phase of their workers' compensation matter, clearly explaining the current status of the case, what is happening behind the scenes, and what to expect next
- Educate clients on the workers' compensation process end to end: claim filing and the employer/carrier investigation period, the accept/delay/deny decision, medical treatment and utilization review, the QME/AME process, temporary and permanent disability benefits, reaching permanent and stationary (P&S;) status, and settlement through Compromise & Release or Stipulations with Request for Award
- Answer clients' procedural questions within the scope of the role, escalating substantive legal matters to the assigned attorney
- Document all client contacts and concerns accurately in the case management system
- Coordinate with attorneys and internal staff to obtain accurate, timely case information at every stage
- Relay client concerns, complaints, or changes in circumstances (new symptoms, return-to-work status, address or employment changes) to the legal team promptly

- Compassionate, patient, and empathetic communication style
- Strong organizational skills and attention to detail in documentation, with the ability to track and manage many clients at different stages of their claims simultaneously
Preferred Qualifications
Experience with California workers' compensation claims, procedures, or litigation across the full claim lifecycle
- Familiarity with the QME/AME process, utilization review, treatment authorization, temporary and permanent disability, and settlement mechanics (C&R; and Stipulations)
