About the Role
We are seeking a detail-oriented and highly organized Records Clerk to join our legal team. In this role, you will serve as a critical link between internal staff, opposing counsel, medical providers, and other outside parties — ensuring that the records process runs efficiently, accurately, and on time. This is an excellent opportunity for a motivated individual who is eager to grow into a senior-level position and take ownership of a high-impact workflow.
Key Responsibilities
Subpoena Management
- Place and track subpoena orders for medical, employment, and other relevant records
- Review incoming subpoenas from opposing counsel and coordinate timely, compliant responses
- Monitor deadlines and follow up to ensure records are received and logged without delay
Workflow Auditing & Process Oversight
- Conduct regular audits of the records request pipeline to identify bottlenecks and ensure SLA compliance
- Maintain and update tracking systems (spreadsheets, case management software) to reflect real-time status of all requests
- Identify process gaps and proactively recommend improvements to increase efficiency
Communication & Coordination
- Serve as the primary point of contact for outside vendors, custodians of records, and opposing counsel
- Collaborate closely with attorneys, paralegals, and case managers to prioritize and fulfill records needs
- Draft and send professional correspondence related to records requests, follow-ups, and objections
Data Management & Reporting
- Maintain accurate and organized records logs; ensure all documentation is properly filed in the case management system
- Generate regular reports on outstanding requests, turnaround times, and audit findings
- Ensure strict confidentiality and compliance with applicable privacy laws (HIPAA, CCPA,
etc.)

Qualifications
- 1 year of experience in a legal, administrative, or records management role (workers’ compensation or personal injury background is a plus)
- Proficiency with case management software and/or document management platforms
- Proficient in Microsoft Office Suite (Excel, Outlook, Word); experience with legal software a plus
- Associate’s or Bachelor’s degree preferred, but equivalent work experience will be considered
