Patient Coordinator

With multiple locations serving a bilingual patient base, the organization emphasizes cutting-edge treatments, patient-centered planning, and accessible services in English and Spanish
Position Summary
The Patient Coordinator acts as the operational backbone of the new patient intake process—facilitating communication, maintaining accurate data, and aligning with medical teams to ensure a fully coordinated care experience. This role supports the overall growth of the practice by promoting trust, compassion, and dignity in every interaction.
What You’ll Do
Patient Intake & Scheduling
- Process and verify new patient referrals.
- Schedule appointments using a computerized system for multiple providers.
- Import, troubleshoot, and manage new patient packets from the website.
- Register patient accounts digitally and complete intake documentation.
- Obtain medical records from referring providers.
- Schedule and bill IMEs with attorneys and Workers’ Compensation parties.
- Process digital referrals efficiently and accurately.
Insurance & Documentation
- Verify insurance using patient management platforms.
- Educate patients on care processes, pricing, and treatment eligibility.
- Assign documents (orders, consents, medical records, etc.) within EMR using proper classification.
- Ensure patient data accuracy across EMR and scheduling systems.
Patient & Team Communication
- Welcome and assist patients and families with professionalism and empathy.
- Coordinate across clinical, administrative, and external stakeholders.
- Inform patients about coverage,
scheduling policies, and next steps clearly.
- Maintain confidentiality at all times.
What You’ll Bring
- English proficiency (C1 or higher).
- Minimum 1 year of customer service or sales experience.
- Strong verbal and written communication.
- Proficiency in typing and basic computer tools.
- Ability to multitask and prioritize effectively.
- Attention to detail and strong interpersonal skills.
- Ability to adhere to established procedures and guidelines.
- Prior experience as a Patient Coordinator or in a medical office setting.
- Familiarity with patient intake and insurance verification processes.
- Experience with EMR/EHR systems.
- Medical background (preferred but not required).
