Asset Operations Coordinator is the primary liaison between Property Managers, vendors, contractors, and leadership. This role organizes information, tracks requests and approvals, supports property reporting, and keeps operational projects moving across a growing U.S. real estate portfolio.
This is a broad, operations-focused coordination role that combines property reporting, stakeholder communication, project follow-up, and executive support.
Core Responsibilities
- Review daily emails, property reports, operational updates, and approval requests; prepare concise summaries for leadership.
- Serve as the primary liaison with Property Managers, vendors, contractors, and internal stakeholders; communicate decisions and follow up on open items.
- Maintain trackers for property issues, approvals, action items, projects, deadlines, vendor requests, and shared files.
- Consolidate Daily and Weekly Reports, maintain organized files in Google Drive, and prepare daily task-status updates in Slack.
- Consolidate and support monthly property-performance reviews, including Income Statements, Balance Sheets, extraordinary expenses, occupancy, collections, operating expenses, budgets, and NOI/ENOI.
- Identify urgent operational issues, manage competing requests, and proactively flag priority conflicts or decisions requiring leadership direction.
- Coordinate follow-up for maintenance, renovations, construction, capital-improvement, and due-diligence projects.
- Prepare meeting notes, action items, research, operational memorandums, and leadership summaries.
- Provide executive and administrative coordination support, including meeting preparation, follow-up, document organization, research, and communication tracking.
- Maintain clear SOPs, templates, reporting calendars, and reference materials to improve consistency across recurring workflows.
Technical Skills & Tools
- Google Workspace: Gmail, Drive, Docs, Sheets,
and Calendar; Slack; shared-file organization; and reporting databases.
- Excel and Google Sheets: formulas, filters, pivot tables, conditional formatting, trackers, and basic dashboards.
- Basic financial and bookkeeping literacy: Income Statements, Balance Sheets, invoices, expenses, budgets, and operating KPIs.
- Experience using AI tools such as Codex, Claude, Gemini, and Hermes for research, drafting, summarization, and data organization.
- Strong attention to accuracy and the ability to identify when information requires additional review or escalation.
Qualifications
- 2+ years of experience in real estate operations, property management, project coordination, executive support, or a related role.
- Advanced written and verbal English required; the role involves daily communication with U.S.-based Property Managers, vendors, and leadership.
- Excellent organization, prioritization, follow-up, attention to detail, and ability to handle confidential information.
- Comfort working independently in a fast-paced environment with changing priorities.
- Experience coordinating multiple properties, vendors, projects, or stakeholders is preferred.
- Strong judgment about when to elevate issues, seek direction, or engage a qualified specialist.
- Availability to work during business hours aligned with the U.S. real estate portfolio and leadership team.
Education
- Bachelor's degree in Business Administration, Real Estate, Operations Management, Finance, or a related field preferred.
