You have a strong administrative foundation: calendar and inbox management, document organization, contracts, proposals, quotes, and invoices — and you follow through without being chased.
You've coordinated logistics with vendors, venues, contractors, or third-party partners and can manage moving pieces across multiple stakeholders.
You walk into ambiguous situations and create structure. You are proactive and detail-obsessed — you see what needs to happen and move on it before you're asked.
You stay calm under pressure. This role supports a live-event production environment where timelines are firm and details matter.
You’re a strong communicator who can be the bridge between a sales team and an operations/production team.

Role Requirements
Minimum of 1 year experience in event coordination, event administration, event operations,
or production support end-to-end, not just day-of execution
2+ years working with clients from the United States, UK, Canada, or Australia
Must speak and write fluent English
Proficiency with CRM, inventory, or production management platforms, event management tools, and QuickBooks; ability to learn new systems quickly
Experience in GoHighLevel is a plus but not required
Reliable internet connection with a backup; ability to work scheduled remote hours consistently. (Minimum: Download Speed +20 MB / Upload Speed 5 MB)
A Computer
At least 8GB of RAM and an Intel Core 8th generation processor or higher, or AMD Ryzen 2000 series or higher
Operating system: Windows 11 or higher / macOS 13 or higher

Responsibilities
Own the post-sale operations handoff — receive client files from the sales team 2–4 weeks before each event and become the client's primary point of contact through the event.
Gather all outstanding events details from clients (missing information, rider requirements, etc.).
Confirm labor for each show — crew, freelancers, and 1099 contractors — well in advance of the event.
Coordinate with vendors, venues, contractors, and warehouse/on-site staff to confirm logistics, timelines, and deliverables,
including ensuring gear and equipment are prepped, packed, and loaded.
Build and maintain detailed event timelines and run-of-show documents so every stakeholder knows exactly what's happening and when.
Manage and keep the CRM up-to-date: leads, pipelines, client records, follow-up reminders, and event status.
Issue invoices and manage client follow-ups post-sale.
Manage inbox, scheduling, meeting notes, and day-to-day administrative tasks that keep the operation running smoothly so the owner and key team members are booked correctly for events and pickups.
Support payroll — track hours and contractor payments alongside with the bookkeeper and QuickBooks.
Help document and update SOPs as processes evolve and new systems are rolled out.
Handle post-event follow-up.
Desired but not required
Background in AV production, live events, or corporate event production.
Experience building SOPs from scratch in a growing business.
