ABOUT THE ROLE
We are looking for a detailoriented Marketing Event Specialist to support the execution of tradeshows, conferences, sponsorships, and brand awareness initiatives. This role requires a strong mix of project management, event coordination, and operational discipline, with a focus on ensuring seamless execution across multiple events and stakeholders.

You will report directly to the Marketing Manager and play a key role in keeping event operations organized, on time, and within scope. Your work will ensure that all eventrelated deliverables, logistics, and communications are properly managed to maintain execution excellence and support overall marketing goals.

REQUIREMENTS
23 years of experience in event coordination, preferably in marketing events, tradeshows, or sponsorships
Proven experience managing projects, timelines, and deliverables using tools like Wrike, Asana, Monday.com, or similar
Advanced English level C1 with strong written and verbal communication skills
Experience with budget tracking, invoice processing, and financial documentation
Strong organizational skills with the ability to prioritize tasks and meet tight deadlines
High attention to detail and ability to maintain accurate documentation and reporting
Portfolio of projects demonstrating handson event coordination experience required

RESPONSIBILITIES

Event Planning Execution
Support the endtoend planning and execution of tradeshows, conferences, and sponsorships
Coordinate logistics, deadlines, and deliverables with event organizers and internal stakeholders




Maintain event portals and ensure all required materials are submitted accurately and on time

Project Management Tracking
Manage eventrelated projects in Wrike or similar tools, including timelines, tasks, and status updates
Update project plans and provide regular reporting on progress, risks, and blockers
Ensure deliverables are completed within scope and aligned with overall marketing objectives

Budget Documentation Control
Track event budgets, process invoices, and maintain accurate financial records
Organize and maintain documentation related to contracts, logistics, and deliverables
Ensure all event documentation is accessible, structured, and auditready

Stakeholder Vendor Coordination
Collaborate with internal teams and external vendors to ensure smooth execution
Communicate timelines, requirements, and expectations clearly across stakeholders
Build strong working relationships to support alignment and delivery quality

Process Improvement Operations
Identify inefficiencies in event workflows and propose process improvements
Support the standardization of event and sponsorship procedures
Stay updated on best practices through trainings and webinars to improve execution quality
