About the Role

We're looking for a Pharmacy Operations Specialist to be the operational bridge between healthcare providers and our pharmacy network — resolving pharmacy clarifications, coordinating operational issues, and keeping prescriptions moving efficiently through fulfillment.

This is an operational execution role, not traditional customer service: you build strong working relationships with pharmacy partners, spot issues early, and coordinate solutions across teams before they reach the provider.

Key Responsibilities

- Own the pharmacy clarification process end to end — receiving a pharmacy's question, liaising with the provider, and returning the answer so the prescription moves to fulfillment without stalling.
- Monitor tracking, shipment issues, backorders, and out-of-stock notices across the network, and proactively communicate them to affected parties.
- Maintain day-to-day pharmacy communication and relationship health so partners stay responsive and problems stay small.




- Relay stock, availability, and operational changes from pharmacies to the Medication Database Administrator so the database stays current.
- Handle light customer service outside pharmacy clarifications, routing requests to the right team.
- Use AI to draft correspondence, maintain tracking records, and classify and route incoming issues — you manage the exception queue and relationships while automation carries the routine work.

Qualifications

Required

- Experience in pharmacy operations, healthcare operations, logistics coordination, or a comparable fulfillment-coordination role.
- Track record managing external partner or vendor relationships day to day.
- Comfort tracking many concurrent issues to resolution without dropping items.
- Strong communicator, comfortable adopting AI tools to improve efficiency.

Preferred

- Familiarity with compounding pharmacy or prescription fulfillment workflows.

Data Privacy & Compliance

This role involves contact with providers, pharmacies, and patient prescription details, some of which is protected under HIPAA.



All communication and data handling must follow Ironsail's compliance-first standards; anything touching PHI or clinical accuracy requires human verification through approved tools.

- Do you have at least two (2) years of professional experience working in pharmacy operations, healthcare operations, prescription fulfillment, medical logistics, or a similar operational coordination role?
- Have you been directly responsible for coordinating with external partners (such as pharmacies, healthcare providers, vendors, or suppliers) to resolve operational issues and keep work moving to completion?
- Do you regularly use AI tools (such as ChatGPT, Claude, Gemini, Copilot, Cursor, or similar) as part of your daily work to improve productivity, automate workflows, draft communications, organize information, or solve operational problems? Please describe how you use AI.
- This role requires managing dozens of active operational issues simultaneously while ensuring none are missed or delayed. Have you previously owned and tracked multiple concurrent work items through to resolution using task management systems, spreadsheets, CRMs, or similar tools?
- This position requires working full-time, Monday through Friday, from 9:00 AM to 5:00 PM U.S. Eastern Time. Are you able to consistently work these hours?
