We are looking for a detail-oriented, reliable Administrative Assistant to support our daily operations and ensure our field operations run smoothly.
As an Administrative Assistant, you will be the backbone of our daily workflow—handling incoming client communications, scheduling field technicians, and generating accurate inspection reports for our clients. No prior fire industry software experience is required; we provide full training on all our proprietary systems and processes.
Key Responsibilities
● Report Generation: Compile data from field technicians and write/generate detailed fire inspection reports for clients and local authorities.
● Customer Support & Sales Intake: Answer incoming phone calls and respond promptly to email inquiries from prospective and existing clients.
● Scheduling & Dispatch: Coordinate and schedule inspection appointments for our team of technicians efficiently.
● Data Entry & Records Management: Maintain accurate client records, job files, and service histories within our software.
● Administrative Support: Assist with general office tasks, invoicing follow-ups, and team communication as needed.
Qualifications & Skills
● Communication: Excellent written and verbal communication skills with a professional, friendly phone presence.
● Attention to Detail: High accuracy in writing reports and entering client information.
● Tech-Savvy: Comfortable learning new software quickly (experience with standard office software like Microsoft Office or Google Workspace is a plus).
● Organizational Skills: Ability to multitask, prioritize daily assignments, and keep schedules running smoothly.
● Reliability: Strong work ethic, punctual, and self-motivated.
● Education/Experience: High school diploma or equivalent required; prior administrative, customer service, or dispatch experience is a plus, but not mandatory.
