Workspace Experience & Facilities Coordinator
Role Overview
Serve as the first impression and primary point of contact for employees, visitors, and clients in the workspace, delivering exceptional corporate hospitality while providing comprehensive operational support to Facilities Management. This integrated role combines excellence in user experience with proactive facilities coordination, ensuring memorable workplace experiences and the continuous functionality, safety, and efficiency of the facilities.
The Coordinator is expected to proactively anticipate and deliver on clients' needs, acting as a key liaison between hospitality services, building operations, and end users—ensuring a seamless experience that balances human warmth with operational excellence.
Responsibilities Client Service and Experience (40% of time)
- Welcome visitors, clients, employees, and vendors with enthusiasm, warmth, and professionalism
- Serve as the visible face of the organization, ensuring positive and memorable first and last impressions
- Serve as the initial point of contact for all Client employee inquiries, issues, and feedback
- Proactively anticipate the needs of visitors and employees, providing personalized services before the request are made
- Provide orientation and tours to new visitors and employees about the facilities
- Support the People team on Day 1 readiness for employee onboarding and welcome processes
- Build meaningful relationships with Client employees and visitors to foster a positive workplace culture
- Maintain a positive, empathetic, and solution-oriented attitude toward any request
Operations and Facilities Management Support (40% of time)
- Conduct daily facility walkthroughs to verify general conditions (lighting, HVAC, cleanliness, furniture) before they impact users
- Log and track work orders in the Client's CMMS system ensuring timely resolution
- Act as liaison between end users and the Facilities Management team for all operational matters
- Coordinate access and tracking of vendors and contractors on-site verifying compliance with safety protocols
- Report operational anomalies to the Facilities Manager immediately and support communication of scheduled maintenance to affected users
- Assist in updating operational reports and facilities KPIs, monitoring critical consumables inventory and alerting about replenishment needs before shortages occur
Request Management and Problem Resolution (10% of time)
- Receive and respond to facility-related requests or issues within one business day implementing temporary solutions for minor operational failures
- Identify operational and safety risks, escalating as appropriate

- Document incidents and follow up until closure ensure workspaces are stocked and maintained
- Support administrative assignments related to facilities, such as updating records and assisting with budget tracking
Events and General Administration (10% of time)
- Support coordination and operationalization of corporate events including preparing meeting spaces and ensuring incident-free operations
- Coordinate with FM on space conditioning for special events
- Prepare meetings and ensure incident-free operations
- Perform administrative assignments as needed
- Participate in evacuation drills and emergency simulations ensuring all users are informed and comfortable with procedures
Requirements Education
- Higher education in Marketing, Communications, Public Relations, Tourism, Hospitality, Business Administration, Industrial Engineering, or related fields. Note: with emphasis on initiative, customer service orientation, and proactive resolution focus.
Experience
- Minimum 2-3 years of experience in corporate hospitality management, concierge services, or customer service in corporate environments
- Experience in operational support, facilities coordination, or general services management (desirable)
- Experience working with clients at all levels of an organization
- Experience in vendor management and contractor coordination
Technical Skills
- Fluent English (oral and written)
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Basic budget management skills
- Analytical capability for data interpretation and KPIs
