? Who We're Looking For
We are seeking a highly organized, proactive, and bilingual Case Manager Assistant to support Personal Injury Case Managers throughout the pre-litigation process.
The idóneo candidate is capable of managing multiple priorities simultaneously, communicating confidently with clients, medical providers, insurance companies, and legal professionals while maintaining exceptional attention to detail. Success in this position requires independence, sound judgment, resilience under pressure, and a genuine passion for helping clients navigate difficult moments.
? What You'll Do
? Client Communication
- Serve as the primary point of contact for clients by providing timely case updates, answering general inquiries, and fostering a professional, empathetic client experience.
- Conduct Intro Calls, Drop Calls, and Expect Calls in Spanish while maintaining clear and accurate communication throughout the pre-litigation process.
? Medical Treatment Coordination
- Coordinate medical appointments, monitor treatment progress, and obtain medical records and provider recommendations.
- Assist with medical payment or insurance coverage claims when applicable and ensure all treatment-related documentation is complete.
? Case Development & Documentation
- Collect, organize, and maintain all essential case documentation, including medical records, accident reports, insurance information, photographs, out-of-pocket expenses, and supporting evidence.
- Maintain accurate and up-to-date case files in Filevine or the firm's case management system.
? Investigation & Evidence Collection
- Coordinate the collection of police reports, witness statements, photographs, surveillance footage, and other evidence that strengthens the client's claim.
- Prepare Preservation Letters and assist the legal team in gathering investigative materials necessary for case development.
?️ Insurance Claims Management
- Verify client and insurance information, open insurance claims, prepare Letters of Representation (LORs), and ensure all required documentation is submitted.
- Communicate with insurance adjusters to monitor claim status, confirm coverage, liability, and claim progress while documenting every interaction accurately.
? Property Damage Support
- Assist clients with property damage claims by coordinating repairs, rental vehicles, total loss settlements, and Loss of Use demands when applicable.
- Maintain complete and organized documentation related to property damage claims and reimbursement requests.
? Administrative Responsibilities
- Maintain confidentiality, report operational or technical issues promptly, and ensure compliance with company policies and legal procedures.
- Collaborate effectively with attorneys, Case Managers, and support teams while managing multiple priorities in a fast-paced environment.
✅ Qualifications
Required
- Advanced English proficiency (spoken and written).
- Previous experience in Personal Injury law or a similar legal support position.
- Experience working with Filevine or another legal case management system.
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Exceptional attention to detail.
- Ability to manage multiple deadlines in a fast-paced environment.
- Professionalism when handling confidential information.
- Strong customer service and interpersonal skills.
Preferred
- Technical degree, technology degree, or university studies in Law, Legal Studies, Business Administration, or a related field.
- Experience coordinating medical treatment and insurance claims.
- Familiarity with medical documentation, insurance carriers, and Personal Injury procedures.
