The Admin + AI Transformation Advisor is responsible for designing, operating, and continuously improving DuartePino's internal operating system. The role combines business operations, finance, project management, and Artificial Intelligence to increase the firm's productivity, operational reliability, and scalability. Rather than simply supporting administrative activities, the Advisor evaluates how work is performed across the organization, identifies opportunities to improve processes, integrates AI into daily operations, and ensures financial and operational disciplines remain strong.

Working closely with Senior Leadership, the Admin Transformation Advisor serves as the operational backbone of DuartePino, helping advisors spend less time on repetitive administrative work and more time creating value for clients. The idóneo candidate enjoys improving systems, solving operational problems, and leveraging technology to help people work smarter. KEY FUNCTIONAL RESPONSIBILITIES

1.

Financial

Operations (35%).

Support

DuartePino's accounting and financial administration under the supervision of the external accounting firm.

Responsibilities include

Manage Accounts Receivable and Accounts Payable.

Maintain QuickBooks and financial records.

Reconcile payment processors and banking activity.

Maintain financial documentation.

Prepare monthly operational and financial reports.

Support budgeting and forecasting.

Coordinate tax documentation and compliance requirements.

- AI Enablement & Business Process Optimization (30%).

Evaluate

DuartePino's internal workflows and identify opportunities where AI can improve productivity, consistency, and quality.

Responsibilities include

Map existing operational processes.

Identify repetitive tasks suitable for automation.

Implement AI-enabled workflows across operations, marketing, finance, HR,



business development, and project management.

Build prompt libraries, templates, SOPs, and AI playbooks.

Research and evaluate emerging AI tools.

Train Advisors on AI best practices.

Monitor adoption and continuously optimize workflows.

3.

Ventures

Support and Executive Operations (15%). Provide operational support to Senior Leadership, and other business ventures.

Responsibilities include

Prepare reports.

Create dashboards.

Develop executive presentations.

Coordinate strategic initiatives.

Support business planning.

Conduct operational analysis.

Recommend improvements.

4.

People

Operations (10%). Support the employee and advisor lifecycle.

Responsibilities include

Coordinate contractor agreements.

Maintain organizational records.

Assist performance review administration.

Coordinate training initiatives.

Support recruiting.

- PMO & Operational Excellence (10%).

Support Senior

Leaders and Operations Advisors as a coordinator across DuartePino initiatives.

Responsibilities include

Monitor workloads and capacity.

Track KPIs.

Improve operational processes.

Standardize documentation and workflows. REQUIRED QUALIFICATIONS

Bachelor's degree in Accounting, Finance, Business Administration, Operations, Information Systems, or related field.

2–5 years of experience in Finance, Operations, Business Administration, PMO, or Business Operations.

Experience using QuickBooks (or equivalent).





Strong Excel and financial analysis skills.

Experience with Asana or project management software.

High proficiency with AI platforms (ChatGPT, Microsoft Copilot, Claude, Gemini, NotebookLM, etc.).

Ability to learn new technologies quickly.

Excellent analytical and organizational skills.

Strong written and verbal communication.

Spanish and English preferred.
