Overview of the Role

Our client is a U.S.-based strategic planning and governance consulting firm. They run 10 to 11 client engagements at any given time, each at a different stage — some opening, some closing, all of them generating details that need someone to catch.

They are a small, nimble team that leads with genuine care, communicates honestly, and holds each other to a high standard. They are looking for a partner who brings that same spirit to the recurring administrative, financial, and project management work that keeps their client partnerships running.

There is no shortage of work here. The client has been explicit that the right person moves from 12–20 hours per week to full-time.

The Team You Would Join

Small, senior, and deliberately collaborative. In their own words: "We are not the type to micromanage. We trust you. You go do your thing, and you tell us how we can support you."

They work remotely, across time zones, and asynchronously. You will need to move work forward without waiting for someone to come online.

As part of the team, you will:

Financial & Administrative Support — 30% of the role

- Maintain a financial dashboard tracking client payments and expected payment dates, and follow up on outstanding invoices
- Collect receipts from client and internal travel, create client-facing invoices, and communicate directly with clients to request payment
- Track project and travel reimbursement payments across all projects, and deliver bi-weekly status updates
- Manage the administrative side of new client onboarding: create Master Service Agreements from pre-established templates, track status and signatures, and ensure documents are fully executed, properly filed, and stored
- Manage deals through their lifecycle in HubSpot, keeping the team accountable to deadlines

Scheduling & Travel Logistics — 35% of the role

- Schedule and coordinate client check-ins, business development calls, and group meetings
- Notify the team of emails awaiting a response, and send reminders on outstanding action items




- Support scheduling around travel including flights and hotel logistics, conference preparation, and other key travel obligations

Project Support & Coordination — 35% of the role

- Keep the master project list current — status, deliverable dates, and active project count — so the team has an accurate, real-time view of upcoming deadlines
- Support the team in keeping project teams organized and on task
- Look ahead at upcoming milestones and target dates proactively, facilitating an efficient workflow

Who you are:

- Detail-oriented: You catch the small things — a missed signature, an inconsistent font, an unpaid invoice — before anyone has to ask.
- Reliable and self-directed: You take a task and run with it, following through reliably and consistently.
- A clear communicator: You flag questions early and raise your hand as soon as you need help.

Key qualifications and skills to succeed in this role:

- Advanced English proficiency, spoken and written — you will write directly to the client's customers
- Two or more years of experience providing virtual administrative or executive assistant support

Bachelor's degree

- Experience with basic financial tracking: invoices, payment status, reimbursements, and spreadsheets
- Strong organizational and time-management skills, with the ability to manage several small workstreams at once
- Strong attention to detail and the ability to manage workstreams independently
- Ability to work independently and asynchronously with a remote, cross-time-zone team
- Comfort with uncertainty and frequent context-switching across 10+ concurrent projects
- Experience moving documents through a signature and execution workflow
- Ability to maintain confidentiality of client and company information

Bonus if you have:

- Hands-on HubSpot experience, particularly deal pipeline management
- Project coordination experience in a professional services or consulting environment
- Travel and conference logistics experience
- Experience supporting consultants, founders, or small professional services firms
- Familiarity with strategic planning, governance, or research-driven work

Schedule & Compensation

- Part-Time: $1.400.000 – $1.600.000 COP/month ($1.400.000 de base + $200.000 bono de acuerdo a performance), benchmarked against skills, level, experience, and the OrangeUP framework
- Hours: 12–20 hours per week to start, with a defined path to 40 hours per week
- Time zone: Async-friendly, with overlap into U.S. Eastern Time business hours for client calls and team check-ins

Technical Requirements

- Reliable high-speed internet (minimum 50MBPS download, 20MBPS upload) — verified live during your Zoom interview
- Computer with 16GB RAM (Windows OS or Mac OS)
- Backup internet connection (Mobile Data / Personal Hotspot)
- Professional home office setup with a quiet environment for video calls
