The Role:

We’re seeking a Sales & Marketing Operations Assistant to support day-to-day sales administration, marketing coordination, CRM management, lead follow-up, and operational workflows. You’ll play a key role in keeping sales and marketing activities organized, maintaining accurate CRM data, supporting campaigns, and helping the team build efficient and scalable processes through technology and AI-enabled workflows.

Location: Must be in Colombia – Remote.

Environment: Colombian and International Teams.

Language: Advanced English (B2+ - C1).

Timezone: Monday to Friday – 9:00 AM – 6:00 PM EST.

Contract: Non-fixed Term Colombian Contract.

Requirements:

- Education: Degree or technical/professional studies in Business Administration, Marketing, Sales, Communications, or a related field is preferred.
- Experience: 3+ years of experience in virtual assistance, sales support, marketing coordination, business operations, or a related role.
- Skills: Strong English communication, CRM management, lead follow-up, data organization, reporting, marketing coordination, and proficiency with digital and AI tools.
- Characteristics: Proactive, organized, detail-oriented, resourceful, independent, with strong ownership, judgment, problem-solving, and follow-through skills.





Responsibilities:

Sales Support & Lead Management:

- Conduct lead generation and prospect research as directed.
- Assist with appointment setting, follow-up reminders, and outbound outreach support.
- Track lead activity, next steps, and sales team follow-up requirements.
- Support customer follow-up processes to improve responsiveness and pipeline visibility.

CRM & Pipeline Administration:

- Maintain accurate CRM records, contact data, company information, deal stages, and task activity.
- Support CRM cleanup, tagging, segmentation, and data consistency.
- Generate pipeline reports and status updates for leadership.
- Identify workflow gaps and assist with CRM automation opportunities.

Marketing Coordination:

- Assist with social media coordination, content scheduling, and basic content creation support.
- Support email marketing campaigns, newsletter preparation, and list management.
- Organize marketing assets, campaign documents, and reusable content.
- Track basic marketing data, engagement, and campaign performance.

AI & Process Support:

- Review, format, and organize AI-generated marketing or sales content for quality and brand consistency.
- Support AI-enabled workflows for lead qualification, follow-up, CRM updates, and reporting.
- Help document repeatable sales and marketing processes, SOPs, and checklists.
- Identify repetitive tasks that can be delegated, automated, or standardized.

Success Measures:

- CRM records, pipeline activity, and follow-up tasks are accurate and current.
- Sales and marketing support tasks are completed on time with minimal oversight.
- Leadership has better visibility into leads, campaigns, customer follow-up, and priorities.
- Repeatable sales and marketing processes are documented, organized, and easier to scale.
