Job Summary
The Junior Migration Program Manager supports the successful delivery of projects by coordinating day-to-day activities, maintaining project documentation, tracking actions and milestones, and ensuring project information remains accurate and up to date. The role works closely with Senior Project Managers, stakeholders, and project team members to provide administrative and operational support across the program.
Responsibilities
Support Senior Project Managers with the planning and coordination of project activities.
- Schedule meetings, workshops, and project governance forums.
- Prepare meeting agendas, capture minutes, and track actions to completion.
- Coordinate follow-ups with stakeholders to ensure actions are completed on time.
- Assist with project communications.
Documentation Management
- Maintain project documentation and repositories, ensuring documents are current and properly version controlled.
- Update project plans, RAID logs (Risks, Actions, Issues, Dependencies), status reports, and trackers.
- Ensure project governance documentation is completed,
reviewed, and stored appropriately.
- Support the creation of presentations, project updates, and reporting packs.
Progress Tracking & Reporting
- Monitor project activities against agreed timelines and milestones. -
- Track progress of project tasks and follow up with owners on outstanding actions.
- Update project dashboards and reporting tools with accurate information.
- Escalate potential delays, risks, or issues to the Senior Project Manager.
- Prepare regular project status updates for stakeholders.
- Act as a key point of contact for project-related administrative queries.
- Support communication between project teams, business stakeholders, vendors, and third parties.
- Assist in gathering requirements, feedback, and project information from stakeholders.
- Maintain stakeholder contact lists and communication plans.
- Support lessons learned reviews and project closure activities.
