Position Overview
We are seeking a highly organized and detail-oriented Consultant Procurement professional to support our architecture and design firm in the procurement and coordination of engineering and specialty consultants for architectural projects.
The adecuado candidate will have experience working with architectural and/or engineering projects and will be responsible for identifying required consultants, developing scopes of work, soliciting and evaluating proposals, process from initial request through final recommendation.
Key Responsibilities
- Receive and review project scopes and identify the consultants required for each project, including Structural, MEP, Civil, Landscape, and other specialty consultants as applicable.
- Prepare, develop, and adapt Consultant Scopes of Work based on project requirements.
- Prepare and issue RFQs (Requests for Qualifications) and RFPs (Requests for Proposals) to qualified consultants.
- Identify and maintain a network of qualified consultants and engineering firms.
- Request, collect, organize, and track consultant proposals and quotations.
- Follow up with consultants to ensure proposals are received within the required timeframe.
- Review proposals for scope coverage, fees, exclusions, assumptions, deliverables, schedules, and additional services.
- Compare consultant proposals and identify differences, gaps, exclusions, and potential scope conflicts.
- Communicate with consultants to clarify scopes, request revisions, and negotiate fees and/or terms when necessary.
- Coordinate with Project Managers and Principals regarding consultant requirements, proposals, and procurement decisions.
- Prepare organized consultant comparison packages and recommendations for review and approval by the Principal and/or Project Manager.
- Maintain accurate records of RFQs, RFPs, proposals, scope revisions, negotiations, and consultant selections.
- Ensure that consultant scopes and proposals are consistent with the architectural project's overall scope, schedule, and requirements.
- Support the development and maintenance of a reliable consultant database for future projects.
Qualifications
- Bachelor's degree in Architecture, Engineering, Construction Management, or a related field preferred.
- Previous experience in architecture, engineering, construction, consultant procurement, or project coordination.
- Strong understanding of architectural and engineering project scopes and consultant services.
- Familiarity with Structural, MEP, Civil, Landscape, and other specialty engineering disciplines.
- Experience preparing or reviewing scopes of work and consultant proposals.
- Strong organizational and analytical skills with excellent attention to detail.
- Ability to compare multiple proposals and identify scope gaps, exclusions, and inconsistencies.
- Strong written and verbal communication skills.
- Ability to communicate professionally with architects, engineers, consultants, project managers,
and principals.
- Proficiency in Microsoft Office, particularly Excel and Word.
- Ability to manage multiple RFQs/RFPs and deadlines simultaneously.
- English proficiency required
- Experience with architectural or project management software is a plus.
- Preferred Experience
- 2+ years of experience in consultant procurement, architectural project coordination, construction administration, or a related field.
- Experience working with U.S. architectural and engineering firms, preferably on projects in Florida.
- Familiarity with consultant agreements, proposals, insurance requirements, licensing, and professional services contracts.
- Experience negotiating consultant fees and scope adjustments.
- Understanding of the typical deliverables and responsibilities associated with Structural, MEP, Civil, Landscape, and specialty consultants.
