Position Overview
The Client Intake Specialist serves as the first impression of our firm and plays a critical role in converting prospective clients into retained clients while ensuring an exceptional client experience throughout the life of a case. The position handles new client inquiries, intake screenings, follow-up with prospective clients, onboarding of retained clients, and ongoing communication with active clients.
Many of the people who contact ECLG have lost significant money to solar financing fraud or predatory lending and are frustrated, confused, or embarrassed. The idóneo candidate is organized, empathetic, proactive, and results-driven, and can build trust quickly while gathering critical information accurately. This is a sales-oriented position, but the product is legal help for people who have been taken advantage of — empathy is not optional.
Communication Requirements
This position involves daily communication with prospective clients, existing clients, referral partners, and firm staff, so candidates must possess exceptional English speaking and writing skills. Applicants should be comfortable handling professional phone conversations, building rapport, gathering detailed information,
and communicating clearly and confidently in a compassionate and professional manner.
Candidates must be readily understood by U.S.-based clients over the phone and must understand callers accurately the first time. Applicants will be assessed on clarity, listening comprehension, and professional telephone presence during the screening process.
Key Responsibilities
Intake Management
- Answer incoming calls, emails, website inquiries, direct-mail responses, and referrals promptly and professionally.
- Conduct detailed intake screenings, gather relevant case information, and evaluate matters against firm-established criteria.
- Escalate strong cases to the attorney team and schedule attorney consultations through the firm’s scheduling system.
- Document all intake information in Clio Grow, including lead source (website, referral, social, podcast, news/media, direct mail).
- Follow up consistently with prospective clients who have not yet retained; confirm consultations in advance and follow up on no-shows.
- Track and report intake conversion metrics.
Client Outreach & Communication
- Serve as a primary point of contact throughout intake and onboarding, including welcome calls and ongoing communication.
- Guide retained clients through e-agreements, payment links, and deposit collection.
- Provide status updates and assist with client questions in coordination with the case management team.
- Request and collect contracts, financing agreements, correspondence, photographs, and other documentation from clients.
- Monitor client satisfaction, assist with obtaining online reviews and testimonials, and ensure clients feel informed and supported.
Campaign, Referral & Administrative Support
- Follow up promptly on direct-mail campaign responses and track referral sources and outcomes accurately.
- Maintain accurate client records, call notes, and case notes in Clio Manage, with no dropped follow-up tasks.
- Generate reports on intake performance and provide feedback on scripts, objections, and lead quality.
- Support marketing and business development initiatives and assist with special projects as assigned.
- Maintain strict confidentiality and compliance with firm policies and procedures.
Qualifications
Required
- Minimum 2 years in legal intake, client services, customer service, sales, appointment setting, or a related client-facing role.
- Excellent English speaking, reading,
and writing skills, with exceptional phone presence.
- Demonstrated ability to nurture leads, handle objections, and close.
- Strong active listening and rapport-building skills, with genuine empathy for people in financial or emotional distress.
- Excellent organization and time management, disciplined CRM habits, and strong attention to detail.
- Ability to multitask and prioritize in a fast-paced environment and work independently with minimal supervision.
- Ability to handle confidential and sensitive information with discretion.
- Proficiency with Microsoft Office Suite, Google Workspace, and cloud-based software.
- Reliable high-speed internet, a quiet private workspace, a working headset, and a backup power and internet plan.
Preferred
- Previous experience in a consumer protection, personal injury, or mass tort law firm.
- Experience with Clio Grow / Clio Manage, Calendly, Slack, or VoIP phone systems.
- Familiarity with U.S. consumer finance, lending, or solar sales practices.
- Bilingual English/Spanish proficiency; experience with structured client follow-up programs; prior remote work experience.
Key Performance Indicators
Success in this role will be measured by lead response time, consultations booked, consultation show rate, signed agreements, deposits collected, follow-up completion rate, accuracy of intake documentation and lead-source tracking in Clio, client retention and satisfaction, review generation, and adherence to firm processes and service standards.
Compensation & Benefits
- $7.00 USD per hour, depending on experience.
- Flat-dollar performance bonus tied to KPIs including consultations booked, show rate, signed agreements, and deposits collected. Bonus structure provided in writing at offer.
