About the role
EcoSource Janitorial is a US-based commercial cleaning company operating across Massachusetts and southern New Hampshire, part of a multi-company portfolio. We're hiring a Senior Finance & Operations Specialist to be the person who runs our numbers day to day.
This is not a data-entry role and it is not entry level. We're looking for someone who knows QuickBooks Online cold — who can open a messy set of books, find what's wrong, and fix it without being told what to look for. You'll work directly with ownership and our General Manager, and you'll have real ownership of the finance function.

Schedule: Monday–Friday, 9:00 AM – 5:00 PM US Eastern Time. Full-time, 40 hours/week, independent contractor.
Compensation: $15.00 - $18 USD/hour — approximately $2,600 USD per month (≈ COP 7,900,000). Reviewed at six months based on performance.
QuickBooks Online — your primary domain
- Own daily bookkeeping: categorization, journal entries, accruals, prepaids
- Bank and credit card reconciliations, every account, every month
- Clean up and correct misposted or miscategorized transactions
- Maintain the chart of accounts and keep it usable, not bloated
- Close the month on schedule and keep the books audit-ready year-round
Payroll preparation
- Prepare each payroll run in Paychex Flex
- Reconcile approved hours from our time-tracking system against the payroll register
- Build a period-over-period variance report and flag every exception before submission
- Note: final audit, approval, and submission are handled by US management. You prepare and flag; we release.
Invoicing and billing audit
- Generate and issue customer invoices; maintain recurring billing schedules
- Own AR aging and collections follow-up
- Systematically audit billing: confirm every active contract is being invoiced,
at the correct rate, at the correct frequency. Find the revenue we aren't capturing.
Reporting
- Build and deliver a monthly financial package: P&L; with variance to prior period, gross margin by customer, AR aging, labor cost as a percentage of revenue
- Write a short summary with each package explaining what moved and why
- Build ad-hoc analyses in Google Sheets and Excel when management needs to answer a question fast
Documentation
- Write clear SOPs for everything you own, so the process survives a vacation
Required
- Degree in Accounting or Finance (Contador Público or equivalent)
- 4+ years of full-cycle accounting or finance operations experience
- 2+ years supporting a US-based company
- Expert-level QuickBooks Online. You should be able to diagnose a broken reconciliation, trace a misposted entry, and close a month without supervision. This is the single most important requirement.
- Hands-on experience preparing payroll on a US platform (Paychex, ADP, Gusto, or similar)
- Advanced Excel and Google Sheets — pivot tables, XLOOKUP/VLOOKUP, IF and nested logic, conditional formatting, building reports from raw exports
- Demonstrated experience building recurring management reports, not just closing books
- Professional written and spoken English (C1 preferred). You'll be on live calls with US management weekly.
- Reliable high-speed internet, functioning computer, quiet workspace
- Willing to complete a background check and sign a confidentiality agreement covering financial and employee data
Preferred
QuickBooks Online ProAdvisor certification
Experience in field services or multi-location operations (cleaning, landscaping, HVAC, security, staffing) — any business with hourly field labor and recurring contracts
Multi-entity or intercompany accounting exposure
Experience preparing financials for an audit, a lender, or a transaction
