The Litigation
Paralegal is the operational backbone of the Litigation team — managing the complex procedural, documentary, and coordination work that keeps litigated cases moving toward the best possible outcome.
The Litigation
Paralegal supports the Litigation Attorney in managing a caseload of personal injury matters through full litigation — discovery, depositions, CMEs, mediation, and case development toward resolution or trial. This is a more experienced and complex role than the Hybrid Paralegal, requiring deeper knowledge of litigation procedures, independent management of multi-phase case timelines, and the ability to handle contested discovery, deposition coordination, Med Chart preparation, and mediation logistics.
The Litigation
Paralegal receives day-to-day direction from the Litigation Attorney but reports to HR. but formally reports to the Senior Partner for HR matters. This role requires strong organizational skills, thorough knowledge of Florida civil procedure, and the ability to manage competing deadlines across multiple active cases in different stages of litigation.
Responsabilities: Case Receipt &
- Setup Received and transitioned cases from pre-litigation and hybrid departments into litigation. Reviewed complaints, discovery history, service status, defendant responses, and prior negotiations to assess case posture. Established and maintained Filevine case files, subscriptions, calendars, and deadline chains. Verified court scheduling orders, CMO deadlines, trial deadlines, and attorney assignments. Ensured no missed deadlines, overdue tasks, or unresolved issues during case transfer. Conducted client introduction calls and verified contact information and treatment status. Supported attorneys during structured case reviews by organizing files and identifying evidentiary gaps.
Evidence
Gathering &
- Case Development Requested and tracked critical evidence including: Police reports Incident reports Witness statements Scene and vehicle photographs Surveillance videos Body camera footage 911/CAD records Preservation letters Managed wage loss documentation requests from employers. Coordinated expert witness materials and medical records for retention and disclosure. Maintained witness contact information and impact evidence for trial preparation.
Discovery Coordination
Managed all phases of discovery, including: Interrogatories Requests for Production Requests for Admission Supplemental Discovery Coordinated with discovery teams to ensure timely response preparation. Filed discovery responses through the Florida Court E-Filing Portal. Served opposing counsel and managed production of responsive documents. Monitored defense discovery deadlines and coordinated motions to compel when required. Reviewed subpoenas and non-party production requests for potential objections. Tracked and managed third-party document productions.
Deposition Coordination
Scheduled plaintiff and defendant depositions through Universal Court Reporting. Coordinated court reporters, videographers, interpreters, and remote appearances. Organized deposition preparation sessions with clients and attorneys. Prepared digital and physical deposition notebooks containing: Medical records Police reports Discovery responses Witness statements Photographs and exhibits Managed deposition confirmations and calendar updates. CME / IME Coordination Scheduled Compulsory Medical Examinations (CME/IME). Verified medical specialty relevance and scheduling compliance. Coordinated videographers, interpreters, and client communications. Prepared objections and managed agreed orders. Scheduled pre-CME attorney-client preparation calls. Facilitated post-CME discovery responses. Med Chart &
- Lien Management Prepared comprehensive Med Charts for mediation and settlement. Verified balances with medical providers and lienholders.

Mediation Coordination
Coordinated mediation scheduling among attorneys, clients, mediators, and opposing counsel. Confirmed mediator requirements and notices. Scheduled attorney case reviews prior to mediation. Managed client communications and mediation preparation materials. Ensured completion of Med Charts and lien verification before mediation.
Client Treatment Management
Monitored ongoing client medical treatment.
Scheduled follow-up appointments and facilitated provider communications.

Required Qualifications High school diploma or equivalent required; associate's or bachelor's degree preferred. Paralegal certification is a plus. Minimum 1 year of experience as a Litigation Paralegal or Senior Legal Assistant in a personal injury law firm or a related area of law. Strong knowledge of Florida civil procedure, including discovery, depositions, CMEs, mediation, and trial preparation is preferred.
Experience with motor vehicle accident and premises liability litigation. Demonstrated experience preparing Med Charts, verifying liens and balances, and coordinating mediations. Strong organizational skills with the ability to manage multiple complex cases with competing deadlines.
Detail-oriented with meticulous record-keeping practices. Strong written communication skills for correspondence, legal documents, and pleadings. Proficiency with Filevine or similar legal case management software.
Proficiency with Microsoft Office (Word, Outlook, Excel).
Preferred Qualifications 5+ years of personal injury litigation experience.
Experience with the Florida e-Filing Portal across multiple counties. Familiarity with LexisNexis for background reports.
Experience supporting trial preparation and trial logistics. Bilingual (English/Spanish) is beneficial.
