Role Overview
Join Job Duck as an Executive Assistant with a Graphic Design background, where you'll play a pivotal role in supporting executive operations while contributing to impactful visual communications. This position is adecuado for a proactive professional who thrives in a fast paced environment, takes ownership of projects, and consistently drives initiatives through completion. You'll manage high level administrative responsibilities, coordinate events and travel arrangements, and support brand consistency across a variety of creative projects.

Schedule:
Monday to Friday from 8:00 AM - 5:00 PM [PST][PDT] (United States of America)
Your Responsibilities Will Include but Are Not Limited To:
- Tracking deliverables and following up with internal and external stakeholders to ensure timely task completion
- Coordinating and overseeing calendar management, scheduling, and appointment booking
- Managing executive email communications and maintaining an organized inbox
- Collaborating with the Chief of Staff to align priorities
- Following up with team members to ensure task completion
- Leading projects from start to finish with minimal supervision
- Booking travel and events and coordinating logistics, including meals and venues
- Scheduling appointments and proactively resolving conflicts
- Communicating professionally with government officials, media contacts, vendors, and business partners
- Reviewing and deconflicting executive calendar commitments to maximize efficiency
- Utilizing AI tools to improve efficiency, productivity, and workflow management
- Managing email and calendar with accuracy and foresight
- Supporting magazine production activities, including theme development, article coordination, design support, and print coordination
- Preparing, organizing, and maintaining executive documentation and communications
- Leading assigned projects from initiation through successful completion
- Developing office communications, event collateral, and creative mockups as needed
- Creating and updating visual materials while ensuring brand consistency across all outputs
What We’re Looking For:
- 2–3 years of experience supporting executives, senior leadership, or high-profile professionals
- Background in graphic design with the ability to maintain brand consistency across visual materials
- Experience coordinating projects from concept through completion
- Comfortable communicating with government officials, media representatives, and external stakeholders
- Proficiency with AI tools to improve productivity and workflow efficiency
- Strong organizational and project management skills
- Ability to manage multiple priorities while maintaining attention to detail
- Familiarity with design, publication, and production workflows highly valued
- Proficiency with Microsoft Office Suite, Google Workspace, calendar management platforms, virtual meeting tools, graphic design software, and AI-powered productivity tools
- Reliable computer setup (laptop/PC, headset, stable internet min. 10 Mbps download / 5 Mbps upload)
