Remote Medical Scheduling & Client Services Specialist
Full-Time, 40 hours per week | Remote | Colombia
Compensation & Schedule
- Compensation: $8–$10 USD/hour, depending on experience, English proficiency, and qualifications. Independent Contractor | Paid Twice Monthly.
- Anticipated Start Date: October 1–15, 2026.
- Work Schedule: Monday–Friday, 8:00 AM–6:00 PM U.S. Eastern Time. (This position requires availability throughout the 8:00 AM–6:00 PM ET workday. Breaks can be taken flexibly throughout the day based on workload and scheduling needs. Candidates must be able to consistently work these U.S. Eastern Time hours from Colombia.)
About the Role A growing U.S.-based medical practice is looking for an exceptionally organized, proactive Remote Medical Scheduling & Client Services Specialist to join our remote operations team. This is a fast-moving role for someone who genuinely enjoys coordinating patient appointments, making confirmation calls, communicating with people, keeping details organized, and ensuring nothing falls through the cracks.
You'll work closely with our healthcare operations team to schedule new patient appointments, make outbound confirmation calls, handle schedule changes, communicate with patients and medical providers, and ensure day-to-day medical office operations run smoothly.
Impeccable spoken and written English is required for this position. You will communicate directly with U.S.-based patients and medical staff throughout the day by phone, text, email, and video.

What You'll DoScheduling & Coordination
- Manage a high volume of patient appointments across multiple medical providers and clinics.
- Match new patients with the best available provider or specialist based on location, availability, clinical needs, and insurance considerations.
- Handle appointment cancellations, rescheduling, referrals, and provider availability updates.
- Identify scheduling conflicts and work quickly to find prompt solutions.
- Maintain accurate medical scheduling records and internal tracking systems while adhering to patient privacy standards.
- Follow up on outstanding scheduling or referral issues until they are fully resolved.
- Help maximize clinic schedules by identifying and filling available appointment slots.
- Anticipate scheduling bottlenecks and address them before they impact patient care.
Patient & Team Communication
- Communicate professionally, warmly, and empathetically with U.S.-based patients through phone calls, text, and email.
- Coordinate directly with remote and clinic-based medical staff regarding daily schedules and provider availability.
- Make outbound calls to confirm upcoming appointments, follow up on missed visits, or reconnect with patients due for routine care.
- Keep practice managers informed about urgent medical scheduling issues, unusual situations, or complaints requiring escalation.
- Provide an exceptional patient experience even when handling complex schedule changes, urgent requests, or frustrated callers.
Ownership Is Important in This Role We are looking for someone who takes genuine ownership of their work.
Identifying a problem or sending one email is not necessarily the same as solving it. When a scheduling or patient service issue arises, you'll be expected to investigate available options, communicate with the people involved, follow up when necessary, and work toward a resolution.
If something cannot be resolved immediately, you'll keep track of it and continue following up until it is resolved or appropriately escalated. The strongest person in this role will anticipate problems, suggest improvements, and become someone the medical team can depend on.

Requirements
- Impeccable spoken and written English (professional-level communication skills suitable for frequent patient conversations).
- Strong organizational skills and exceptional attention to detail.
- Strong problem-solving and critical-thinking skills.
- Experience with Google Workspace, particularly Google Sheets.
- Ability to learn new healthcare software quickly.
- Prior experience in medical scheduling, healthcare administration, customer service, virtual assistance, or a similar medical office role.
- Confidence communicating with patients by phone, especially for appointment confirmations and service calls.
- Ability to manage multiple priorities and switch between tasks throughout the day.
- Ability to work independently while remaining highly communicative with a remote healthcare team.
- Ability to consistently work the required U.S. Eastern Time schedule.
Technical & Home Office Requirements Because this is a fast-paced remote position involving multiple medical and communication systems at once, candidates must have a professional and reliable home-office setup:
- Fast, reliable computer capable of running multiple browser tabs, spreadsheets, communication platforms, and web-based applications simultaneously without lag.
- At least two screens/monitors required for daily work.
- Fast, stable high-speed internet connection suitable for video meetings, internet-based phone calls, and continuous cloud application use.
- Reliable backup plan for occasional internet or power outages.
- Webcam and microphone suitable for professional video meetings.
- Quality headset or headphones with a microphone for patient calls.
- Quiet, professional workspace without significant background noise or interruptions.

- Experience working in a medical clinic, doctor's office, dental practice, or healthcare environment.
- Experience handling high-volume patient intake, appointment confirmations, or referral coordination.
- Experience supporting a U.S.-based healthcare organization remotely.
- Familiarity with Electronic Health Record (EHR) or Electronic Medical Record (EMR) software.
