About the RoleWe are looking for a highly organized, proactive, and business-oriented Regional Office Manager to oversee and coordinate the company's operational, administrative, and logistical activities across the LATAM region.
This role will be responsible for ensuring the smooth operation of regional offices, coordinating vendors and facilities, supporting recruitment and onboarding, managing budgets and operational expenses, organizing corporate travel and events, and providing administrative support to regional and general leadership.
The ideal candidate is a strong problem solver who can work independently, manage multiple priorities, communicate confidently in English, and operate effectively in a fast-paced international environment.
Key ResponsibilitiesOperations & Office Management
- Ensure the efficient and uninterrupted operation of corporate offices and flexible workspaces across LATAM.
- Coordinate preventive and corrective maintenance of facilities, furniture, and technological equipment.
- Manage office inventory, supplies, equipment, and procurement.
- Implement and maintain health, safety, and emergency protocols.
- Develop and improve Standard Operating Procedures (SOPs) and administrative processes.
- Identify opportunities to improve operational efficiency and internal workflows.
Financial & Budget Management
- Prepare, manage, and optimize monthly and annual operational budgets.
- Coordinate the accounts payable process, including vendor invoices and consultant fees.
- Review expenses, reimbursements, and per diem payments.
- Maintain strong financial controls and ensure payment and exchange-rate accuracy.
HR & Talent Support
- Support regional recruitment and hiring logistics.
- Coordinate onboarding, including equipment, system access, and workspace setup.
- Maintain accurate employee/consultant documentation and agreements.
- Support employee engagement initiatives, team-building activities, and corporate events.
- Conduct regular employee check-ins and support initiatives aimed at improving engagement and retention.
Travel, Events & Corporate Logistics
- Plan and coordinate national and international business travel, including flights, accommodation, transportation, and per diems.
- Coordinate logistics for industry events, brand activations, and strategic meetings.
- Manage on-site event operations, access, accreditation, setup, and issue resolution.
- Coordinate promotional materials, merchandising, VIP kits, and corporate assets.
- Ensure a high-quality hospitality experience for executives, clients, and international visitors.
Vendor, Legal & Compliance Management
- Identify, evaluate, and negotiate with external service providers.
- Monitor vendor performance and compliance with agreed SLAs.
- Maintain updated contracts, permits, leases, and other operational documentation.
- Coordinate with relevant stakeholders to ensure compliance with applicable local regulations.
Executive & Strategic Support
- Provide administrative and logistical support to regional and global executives.
- Manage complex calendars, meetings, and agendas.
- Prepare meeting minutes, follow-ups, operational reports, and KPIs.
- Provide accurate operational information to support management decision-making.
The position is expected to contribute to measurable operational improvements, including budget efficiency, timely issue resolution, onboarding efficiency, compliance coverage, event readiness, and the implementation of new SOPs and improvement initiatives. Requirements
- 3+ years of experience in Office Management, Operations Management, Administration, Facilities, or a similar role.
- Experience coordinating multiple operational areas and external vendors.
- Experience managing budgets, expenses, invoices, or administrative finances.
- Experience coordinating business travel, corporate events, or executive logistics.
- Strong organizational and time-management skills.
- Excellent problem-solving and decision-making abilities.
- Ability to manage confidential information and sensitive documentation.
- Strong communication and stakeholder-management skills.
- Professional English proficiency — required.
- Advanced proficiency with Microsoft Office / Google Workspace.
- Ability to work independently in a fast-paced, international environment.
Desirable Experience
- Experience working in an international or multinational company.
- Experience supporting regional operations across multiple LATAM markets.
- Experience in FinTech, Forex, Trading, Financial Services, Technology, or other highly regulated/international industries.
- Experience working directly with senior management or global executives.
