Regional Office Manager – LATAM
We are seeking a highly organized, proactive, and strategic Regional Office Manager to ensure operational excellence across the LATAM region. Acting as the critical link between integral leadership and local execution, this role leads facility management, financial and budget control, corporate logistics, and HR support. The ideal candidate thrives in a fast-paced environment, excels at process optimization, and ensures business continuity and compliance across all regional operations.
Key Responsibilities
1. Operations & Facilities Management
- Ensure the optimal and uninterrupted operation of corporate offices and flexible workspaces (coworking) across the region.
- Coordinate preventive and corrective maintenance of infrastructure, furniture, and IT equipment.
- Implement and audit health, occupational safety, and emergency control protocols.
- Manage corporate inventory, overseeing procurement and the supply of office materials and equipment.
- Design, document, and propose Standard Operating Procedures (SOPs) and continuous improvement plans to optimize internal workflows.
2. Financial Management & Budget Control
- Develop, execute, and optimize the monthly and annual regional operational budget (OPEX).
- Lead the end-to-end accounts payable cycle: receipt, auditing, reconciliation, and processing of vendor invoices and consultant fees.
- Implement strict financial accuracy controls, including same-day exchange rate audits for cross-border disbursements.
- Audit and manage corporate expense limits and per diem reimbursements for the regional team.
3. HR & Talent Management Support
- Oversee the logistics of the regional recruitment cycle and provide support in job postings and candidate sourcing.
- Lead the onboarding process for new hires, ensuring system access, tool setup, and corporate equipment delivery.
- Foster organizational culture by planning and executing team-building activities, training sessions, and corporate recognitions.
- Conduct regular one-on-one meetings, administer work climate evaluations, and develop tailored improvement plans to boost team morale.
- Maintain updated and properly filed talent records, service agreements, and Non-Disclosure Agreements (NDAs).
4. Corporate Logistics, Travel & Events
- Plan and manage complex national and international travel itineraries (flights, accommodation, ground transport) for delegations and executives.
- Direct the end-to-end logistics for the company's participation in industry events, brand activations, and strategic meetings.
- Coordinate on-site field operations during events, managing setups, accreditations, and real-time issue resolution.
- Manage the production, inventory, and distribution of promotional materials, brand assets, and VIP hospitality kits.
5. Legal Management, Compliance & Vendor Relations
- Identify, evaluate, and negotiate contracts with external service providers, ensuring strict compliance with Service Level Agreements (SLAs).
- Ensure all facility operations and vendor agreements comply with local laws and commercial regulations.
- Centralize and audit regional legal documentation, operating permits, and lease agreements.
- Lead the logistical planning and dispatch of regional Corporate Social Responsibility (CSR) initiatives.
6. Executive & Strategic Support
- Coordinate high-level administrative assistance for regional management and global executives during regional visits.
- Manage complex agendas, schedule commercial meetings, and prepare meeting minutes or project follow-up reports.
- Design and present operational management reports and Key Performance Indicators (KPIs) to facilitate strategic decision-making.
Qualifications & Requirements
- Experience: 4+ years of proven experience as a Regional Office Manager, Operations Manager, Executive Assistant, or a similar administrative leadership role.
- Multidisciplinary Skills: Strong background in managing administrative, financial (accounts payable/budgeting), HR, and logistical functions simultaneously.
- Language: Fully bilingual (English and Spanish) with excellent written and verbal communication skills.
- Problem Solving: Highly proactive with a proven track record of identifying operational risks and implementing immediate, effective solutions.
- Tech-Savvy: Proficient in corporate management software, HR tools, expense tracking platforms, and Microsoft Office/Google Workspace.
- Work Ethic: Ability to work autonomously as an independent consultant, managing multiple priorities in a dynamic, multi-country environment.
