Maple Street ABA is an ABA therapy company opening across several US states. We are hiring one person to own intake, working remotely from Colombia on US business hours.
You own everything between a family's first phone call and that child's first authorized session.
That means you are the first human voice a parent hears when they are worried about their child, and you are also the person who reads their benefits correctly, gets the authorization submitted with the right documentation, and gets the assessment on the calendar. Both halves of that matter equally.
This is not a general medical front-desk role. ABA intake has its own rules, its own codes and its own failure modes, and we are looking for someone who already knows them.
WHAT YOU WILL OWN
Responding to every new inquiry within one business day, by phone and email
Collecting and verifying what we need to open a case: insurance information, the diagnostic evaluation, referrals or prescriptions where the plan requires them
Running verification of benefits and explaining the result to the family in plain language
Preparing and submitting initial assessment authorization requests with complete documentation
Tracking authorizations to approval and following up with payers when they stall
Scheduling assessments and handing off cleanly to our clinical team
Managing the waitlist and keeping waiting families informed
Documenting everything in CentralReach
Building the intake process itself, because it does not exist yet
WHAT WE REQUIRE
Direct experience with intake at an ABA therapy company.
Medical billing experience is not the same thing and will not substitute.
Clear, easily understood spoken English. You will be on the phone with families every day.
Working knowledge of insurance verification, prior authorization, and what a payer needs to approve an ABA assessment.
You can hold thirty or more open families at different stages without losing track of any of them.
You can work US business hours from Colombia.
NICE TO HAVE
CentralReach
Medicaid and Medicaid managed-care plans
Experience at a young or fast-growing ABA company
Spanish
WHY THIS ROLE
You will report directly to the owner. The intake process does not exist yet, so you will build it. If you have spent years working inside someone else's broken intake system and know exactly what you would change, this is that job.
Please answer all screening questions. Applications without them will not be reviewed.
Job Type: Full-time
Application Question(s):
- Which ABA company did you do intake for? Walk me through everything that happens between a parent's first phone call and that child's first authorized session. Name each step in order, in your own words.
- What documents do you need from a family before you can submit an initial ABA authorization request? And which CPT code covers the initial ABA assessment?
- Record a voice message, up to 60 seconds. You are returning a call to a parent who left an inquiry about ABA services for their four-year-old. You have not yet verified their insurance. Leave the message you would actually leave. Upload it to Google Drive or Dropbox and paste the shareable link here.
