Case Manager Assistant – Personal Injury Law Firm (Bilingual English/Spanish)

About the Role

The Inkell Firm, LLC is a personal injury law firm based in Wilmington, Delaware looking for a driven, bilingual Intake Specialist to join our growing team. You will be the first voice a potential new client hears — and that matters. We handle MVA, dog bite, premises liability, and medical malpractice cases, and our intake team plays a direct role in connecting injured people with the representation they need.

This is a fully remote position. You will work closely with our intake team, case managers, and firm leadership in a fast-paced, high-accountability environment.

What You Will Do

- Request medical records and bills from ERs, urgent care, and treating providers within 48 hours of confirmed coverage
- Follow up persistently until records are received — most providers don't respond the first time
- Track outstanding records and bills, and ensure they're received within 60 days
- Enter records and bills accurately in Filevine within 15 days of receipt
- File documents in the correct fields and folders in Filevine and SharePoint
- Support new case setup, document gathering, and file checklists
- Prepare basic client communications as assigned
- Support our litigation and settlement teams with updated records, bills, and liens
- Monitor the firm's document mailroom and route incoming mail to the right team member

What We Are Looking For

- Fluent in both English and Spanish — written and spoken




- Strong phone presence with the ability to build trust quickly
- Organized, detail-oriented, and self-directed in a remote environment
- Comfortable with CRM tools and digital workflows
- Personal injury law firm experience a plus but not required
- Available during business hours from a reliable remote setup
