Key Responsibilities
- Administrative Management
- Plan, coordinate, and oversee the execution of the company’s administrative processes, ensuring compliance with internal policies, procedures, and corporate guidelines.
- Ensure operational continuity and the efficient management of the resources required for the proper functioning of the organization.
- Coordinate administrative activities across different areas, ensuring alignment with organizational objectives and priorities.
- Identify operational risks and implement appropriate actions to ensure the continuity and efficiency of administrative processes.

Process
Monitoring and Control
- Monitor and follow up on the administrative, documentary, and operational management of the different areas under their responsibility.
- Ensure compliance with management indicators, Service Level Agreements (SLAs), and organizational requirements.
- Monitor process performance and identify deviations, risks, and opportunities for improvement.
- Implement corrective and preventive actions when necessary to ensure compliance with established standards and objectives.
3. Team Leadership and Development
- Coordinate and supervise administrative staff, assigning responsibilities according to business needs and individual capabilities.
- Monitor team performance and provide regular feedback and technical guidance.
- Promote the development of competencies and knowledge within the team.
- Foster a collaborative, service-oriented, and results-driven work environment.
- Ensure adequate workload distribution and effective coordination among team members.
4. Resource and Budget Management
- Manage and optimize the physical, technological, and financial resources assigned to the area.
- Ensure efficient utilization and appropriate control of company resources.
- Monitor and control the administrative budget,
identifying potential deviations and implementing actions as required.
- Ensure compliance with company policies related to purchasing, inventory, and asset management.
- Coordinate with relevant areas and suppliers to ensure the timely provision of goods and services required for operations.
5. Reporting and Management Information
- Prepare, consolidate, and present management reports, performance indicators, administrative analyses, and executive reports for management.
- Ensure the accuracy, reliability, and timeliness of administrative information.
- Analyze relevant data and indicators to identify trends, risks, and opportunities for improvement.
- Provide management with relevant information and recommendations to support decision-making and strategic planning.

Continuous
Improvement
- Lead continuous improvement projects and initiatives related to administrative processes.
- Identify opportunities to optimize workflows, improve efficiency, reduce costs, and enhance service levels.
- Promote the standardization of administrative procedures and best practices across the organization.
- Support the automation and digitalization of administrative processes where applicable.
- Develop and implement improvement initiatives aligned with the company’s strategic objectives.
7. Compliance and Corporate Guidelines
- Ensure that administrative activities are carried out in accordance with company policies, procedures, and corporate guidelines.
- Maintain appropriate documentation and records related to administrative processes.
- Coordinate with internal and external stakeholders to ensure compliance with applicable requirements.
- Support internal and external audits related to administrative processes when required.

Required Qualifications
Education:
- Bachelor’s degree in Business Administration, Industrial Engineering, Finance, Accounting, or a related field.
- Postgraduate studies in Administration, Management, Finance, or related areas are desirable.
Experience:
- Minimum 5 years of professional experience in administrative management, operations, or related areas.
- Experience managing administrative teams and cross-functional processes.
- Experience in budget management, purchasing, asset management, and administrative reporting.
- Experience leading process improvement and optimization initiatives.
- Experience working in multinational or corporate environments is desirable.
