About the Role
We are looking for an experienced Construction Accounting & Operations Specialist to support real estate development and asset management operations. This is a higher-level role for someone who can take ownership of financial, accounting, project coordination, and administrative processes, not simply complete assigned bookkeeping tasks.
The idóneo candidate is highly organized, proactive, detail-oriented, and comfortable working independently. You should have a strong understanding of construction and real estate financial workflows, including construction draws, project costs, financial reporting, documentation, and account reconciliation.
You’ll work closely with the project management and leadership teams and will be expected to identify what needs to be done, stay ahead of deadlines, communicate issues proactively, and ensure work is completed accurately and on time.
Key Responsibilities
Construction Draws & Project Costs
- Calculate monthly project and property costs for construction draws.
- Prepare draw information for PM approval according to established deadlines.
- Ensure approved funds are drawn from the appropriate accounts by the required deadlines.
- Manage draw-related paperwork and documentation.
- Track and clear Ramp receipts and ensure expenses are properly documented.
Accounting & Financial Management
- Ensure bills and credit card transactions are accurately paid, recorded, and logged.
- Maintain and update financial records in Xero.
- Upload and reconcile monthly Chase Bank statements in Xero.
- Maintain internal financial models and historical financial data.
- Code transactions according to established account classifications.
- Update Excel financial schedules based on monthly bank statements and property management reports.
- Prepare and send monthly financial reports to leadership.
- Support the implementation and maintenance of asset management reports and monthly cash flow updates.
Project & Operations Support
- Maintain accurate project information across Trello and shared file folders.
- Ensure each project has complete and organized documentation.
- Upload and organize vendor quotes, bids, contact information, invoices, W-9s, insurance documents, and other project records.
- Transfer vendor quotes received through email into Trello under the appropriate project/category.
- Keep project documentation current, organized, and accessible.
Task & Workflow Management
- Track open tasks coming from meetings, emails, and Teams conversations.
- Maintain the central task list and ensure tasks are assigned, followed up on, and completed.
- Provide daily updates on outstanding tasks, including: Completed, Work in Progress, and Questions / Items Requiring Follow-Up
- Proactively identify pending items, missing information,
and potential issues before they become problems.
Project Scheduling & Reporting
- Maintain and update weekly project schedule/Gantt charts.
- Participate in weekly project timeline meetings with leadership.
- Update project timelines based on current information and discussions.
- Distribute updated project schedules and charts to relevant team members.
- Support construction and project meetings by documenting and following up on action items.
What We're Looking For
- 3+ years of relevant US bookkeeping, accounting, construction accounting, or real estate operations experience
- Strong experience with construction draws, project costs, closings, financial paperwork, and documentation
- Experience working with US-based accounting or real estate/construction companies
- Strong written and verbal English communication skills
- Comfortable working with US-based teams and business hours
- Strong understanding of bookkeeping and financial reconciliation
- Experience with Xero, Excel, Ramp, and/or banking platforms preferred
- Experience with project management or organizational tools such as Trello and MS Teams is a plus
- Highly organized with excellent attention to detail
- Able to manage multiple deadlines and priorities independently
- Strong problem-solving and analytical skills
- Proactive communicator who can clearly explain financial and operational matters
- Able to recognize what needs attention without waiting to be instructed
- Comfortable taking ownership of processes and following tasks through to completion.
