ECN Reception and Registration

- Receive, register, and classify ECNs and technical communications from the factory, assigning priority, responsible parties, and target dates.

Applicability Analysis
- Determine the affected population in Colombia, including model, batch, VIN, customer, and operation, and verify it against the presente vehicle fleet in the country.

Repair Process Planning
- Develop work instructions for each ECN, including the sequence of operations, standard time, required tools, safety conditions, and acceptance criteria.

ECN Management
- Maintain the schedule, milestones, risks, and responsible parties for each ECN, ensuring follow-up through closure and timely escalation of any deviations.

- Supplies, Tools, and Lead Time

Definition of Supply and Tool Requirements
- Based on the instructions for each ECN, determine the required spare parts, supplies, consumables, and special tools, including the quantities and dates by which they must be available at each yard.

Lead Time Control
- Establish and monitor procurement lead times for each ECN component, including factory requests, production, international transit, customs clearance, and delivery to the yard.
- Calculate the latest request date to ensure materials arrive before the intervention begins and provide early alerts when lead times may impact the schedule.

Supply Coordination with Warehouse and Yards
- Coordinate with the warehouse, logistics team, and responsible parties at each yard regarding the receipt, preparation, and delivery of required materials and tools.




- Verify the physical availability of materials and tools on-site before the scheduled intervention date.

Material Management with the Factory
- Calculate spare parts demand, process requests with the factory, and follow up on purchase orders, imports, and on-site availability.

- Execution and Coordination

Scheduling with Operations

- Coordinate with operations leaders and customers to schedule vehicles in batches compatible with fleet availability.

Factory Liaison
- Manage technical inquiries and field feedback with BYD China Engineering, documenting responses in the corresponding ECN file.

Technical Communication
- Communicate and review work instructions with the technicians responsible for execution and the training team to ensure that interventions are carried out consistently across all operations.

Document Control
- Maintain a complete, traceable, and auditable file for each ECN, including factory documentation, work instructions, VIN lists, supporting evidence, records, and customer signatures.

- Management Tools, Data, and Performance Indicators

Development of Management and Monitoring Tools
- Design, develop, and maintain process control tools, including databases, monitoring dashboards, registration formats, and progress tracking matrices.




- Ensure that each ECN can be tracked from receipt through closure without relying on scattered manual records.

Data Analysis
- Process information from the ECN process to identify trends, bottlenecks, schedule deviations, and recurring failure patterns.
- Provide conclusions that support decision-making by After-Sales Management and technical requests to the factory.

Development and Publication of Performance Indicators
- Define and maintain process indicators, including:
- Coverage
- Schedule compliance
- Material availability
- Lead time compliance
- Service response times
- Develop and maintain dashboards that allow stakeholders to review the area's status without the need to request individual reports.

Automation and Standardization
- Propose and implement improvements that reduce manual work within the process, including templates, standardized data capture formats, validations, and automated consolidated reports.
- Document the use of these tools to ensure they remain effective despite personnel changes.

- Reporting and Closure

Progress Reporting

- Periodically present the status of each ECN to After-Sales Management and the factory, including the causes of deviations and recovery plans.

Closure and Verification
- Validate the completion of interventions for 100% of the affected population.
- Confirm closure with the factory and document lessons learned.

Warranty Interface
- Provide the technical and cost information required for the recognition and reimbursement of each ECN by the factory.
