Role Overview

At Job Duck, we are seeking a dedicated and people-focused Bilingual Immigration Intake Specialist to serve as the first point of contact for prospective clients and play a key role in the client intake journey. In this position, you will engage with leads through high volume outbound and inbound communication, guide potential clients through the consultation scheduling process, and maintain accurate records within the firm's CRM. You will also support immigration related intake activities, including application preparation and document management.

Schedule:

Monday to Friday 9:00 AM - 6:00 PM [CST][CDT] (United States of America)

Your Responsibilities Will Include but Are Not Limited To:

- Delivering a professional and positive experience throughout the client intake process
- Supporting the legal team with administrative intake-related tasks as needed
- Ensuring all client interactions are documented appropriately
- Coordinating appointment availability and maintaining calendar accuracy
- Communicating with prospective clients regarding services, consultations, and next steps
- Maintaining confidentiality of sensitive client information
- Following all firm intake procedures and lead management protocols




- Gathering, organizing, and reviewing client information for intake purposes
- Scheduling consultations and appointments for prospective clients
- Assisting with immigration application preparation and related documentation
- Conducting follow-up activities with leads to maximize consultation attendance and conversion opportunities
- Entering, updating, and maintaining accurate lead information within the CRM
- Responding to and qualifying incoming leads professionally and efficiently
- Making approximately 60 or more outbound calls per day to prospective clients

What We’re Looking For:

- Immigration law experience is required
- Previous experience working in a legal environment is strongly preferred
- Experience as an Intake Specialist, Legal Intake Specialist, Receptionist, Front Desk Representative, or in a similar client-facing role is preferred
- Experience assisting with immigration applications and legal documentation is highly preferred
- Comfortable making and receiving a high volume of calls daily, with a primary focus on outbound communication
- Strong ability to follow established CRM processes and lead management procedures
- Excellent verbal and written communication skills
- Reliable computer setup (laptop/PC, headset, stable internet min. 10 Mbps download / 5 Mbps upload)
- Quiet, distraction-free remote work environment
