? Client Experience & Operations Associate (100% Remote - Colombia) ?

About the Role

? We are seeking an exceptionally organized, self-driven, and polished Operations & Executive Client Experience Lead to serve as the operational backbone of a boutique US-based professional services firm. This is a foundational, high-ownership role designed for a professional who thrives in independent execution, manages complex workflows without micromanagement, and delivers an elite client experience for high-net-worth individuals and industry leaders.

Key Responsibilities ?️

- ? Executive Support & Inbox Triage: Manage C-level calendars across time zones, protect focus time, triage high-volume inboxes, and draft refined correspondence in the principal's voice. Coordinate logistics for speaking engagements, travel, and conferences.
- ? Client Onboarding & Operations: Own the entire client journey from initial inquiry through case completion. Guide prospective clients through intake, manage engagement agreements, setup client files, and track missing or incomplete documentation.
- ? Media & Partnership Logistics: Manage inbound media inquiries, coordinate podcast guest scheduling and logistics, and support outreach campaigns alongside the marketing team.




- ⚖️ External Liaison: Serve as the primary, professional point of contact for clients, administrative staff, and legal or professional partner offices regarding operational logistics.

What You Bring ?

- ✅ Experience: 5 to 10 years of professional experience in client-facing, executive support, or operations roles within high-touch environments (financial services, legal firms, consulting, or medical practice management).
- ✅ Language Mastery: C1+ Advanced English proficiency (both written and spoken). Ability to communicate with poise, discretion, and precision with high-net-worth clients and executives.
- ✅ Tech Proficiency: Hands-on mastery of Google Workspace (Gmail, Calendar, Drive, Docs), project management/CRM tools (ClickUp or similar), DocuSign, Zoom, and Dropbox.
- ✅ Mindset: Extreme attention to detail, high discretion with confidential data, and a track record of executing tasks independently without needing to be micromanaged.

Schedule & Location ⏰

- Location: 100% Remote from Colombia.
- Hours: Full-Time (40 hours/week) calibrated to US Eastern Time (ET)
