About the Role

We are looking for an experienced and highly organized Construction Accounting Specialist to provide high-level accounting, construction, real estate, and property management support.

The role involves construction draws, financial reporting, project coordination, documentation, property closings, due diligence, and ongoing administrative and operational support. The successful candidate should be smart, detail-oriented, proactive, dependable, and comfortable managing multiple priorities while communicating clearly and thoughtfully with US-based teams.

Responsibilities

Accounting Responsibilities

- Calculate and coordinate construction draws and project costs while supporting cash flow and asset management reporting.
- Maintain accurate financial records in Xero, including transaction coding, bank and credit card reconciliations, and monthly financial reporting.
- Process bills, credit card transactions, receipts, and related supporting documentation, ensuring records are complete and accurate.
- Maintain financial schedules and internal financial models using bank statements, historical financials, and property management reports.
- Support property-level financial reporting and ensure financial information is properly recorded, organized, and reconciled.

Operational Responsibilities

- Maintain organized project records and file folders, including vendor quotes, bids, W-9s, insurance documents, invoices, and other project documentation.
- Track and follow up on tasks and action items from meetings, emails, and team communications, providing clear status updates and ensuring outstanding items continue moving forward.
- Maintain project schedules and Gantt charts and support project timeline coordination.




- Assist with property closings, due diligence, critical dates, and transitions with property managers.
- Maintain LLC records, annual subscriptions, real estate tax requirements, and other recurring operational requirements.

Additional Operational Responsibilities

- Review, organize, and maintain vendor quotes and project-related documentation to ensure records are complete and up to date.
- Identify missing information, unresolved issues, potential delays, and other outstanding items, and proactively follow through toward resolution.
- Provide general administrative and operational support across construction, real estate, and property management activities as needed.

Qualifications

- 3+ years of relevant experience in US bookkeeping, accounting, construction accounting, real estate operations, or property management.
- Experience working with US-based construction, real estate, or property management companies.
- Hands-on experience with construction draws, property-level financial reporting, or real estate closings strongly preferred.
- Strong Xero and Excel skills; experience with Ramp, Trello, Microsoft Teams, and banking platforms is a plus.
- Highly organized, detail-oriented, and able to manage multiple priorities and deadlines.
- Demonstrated ability to work independently, take ownership, and think through problems rather than simply completing assigned tasks.
- Strong written and verbal English communication skills, with the ability to communicate clearly and proactively about financial, operational, and project-related matters.
- Proactive, dependable, and comfortable working with minimal supervision.
- Comfortable working with US-based teams during Central Time business hours.
