Job Overview:
We are seeking a detail-oriented and client-focused Bilingual Intake Specialist to serve as the first point of contact for prospective clients seeking legal assistance. The Intake Specialist will gather and document case information, assess potential cases based on established criteria, guide prospective clients through the intake and sign-up process, and ensure a smooth transition to the legal team.
The adecuado candidate has 1–2 years of experience in legal intake, customer service, sales, or a similar client-facing role. This position requires excellent communication skills, strong attention to detail, empathy when handling sensitive situations, and the ability to manage multiple leads and follow-ups efficiently. Bilingual English/Spanish proficiency is required.
Key Responsibilities:
- Respond promptly and professionally to incoming calls and inquiries from prospective clients
- Conduct initial intake conversations and gather essential information regarding accidents, injuries,
insurance coverage, medical treatment, and other relevant case details
- Evaluate and qualify potential cases based on the firm’s established intake criteria
- Clearly explain the firm’s representation process, expectations, and next steps to prospective clients
- Prepare, send, and follow up on retainer agreements to facilitate client sign-ups
- Maintain consistent and timely follow-up with warm leads to maximize conversion and onboarding
- Accurately enter, update, and maintain client information, case details, and notes in the case management system
- Communicate professionally and empathetically with individuals who may be experiencing stressful or difficult circumstances
- Coordinate closely with attorneys and internal staff to ensure a smooth transition from intake to representation
