You will spend a significant part of the day on the phone: listening to callers, coordinating caregivers, reassuring clients and families, and working with the team to find creative solutions when plans change.
Success takes an upbeat, confident, and assertive demeanor, sound judgment, and the follow-through to get things done.
Primary Responsibilities· Put the customer experience first in every phone call and interaction. Answer promptly and professionally, make each caller feel heard and respected, and move the conversation toward a clear next step.
· Select, schedule, and coordinate caregivers for new and existing clients using assessment and care-plan information, availability, skills, and client preferences.
· Own the daily caregiver schedule. Ensure the next business day and weekend schedule are complete before leaving for the day.
· Resolve scheduling conflicts, emergencies, and call-outs with urgency. Treat each gap as a puzzle, consider multiple options, and pursue creative solutions until coverage is secured.
· Listen to understand before acting. Communicate warmly, clearly, and assertively; confirm what is needed, explain next steps, and close the loop so no one is left wondering.
· Collaborate with clients, families, caregivers, and office teammates to solve problems. Share relevant context, invite useful ideas, align on decisions,
and follow through on commitments.
· Document assignment refusals, call-outs, late arrivals, early departures, and other schedule changes accurately in WellSky, and share trends with the Caregiver Manager or Office Manager as directed.
· Make scheduling decisions that support dependable client care and the appropriate gross profit margin for each case.
· Participate in on-call duty, averaging two weeks per month, and as directed by the Office Manager or Caregiver Manager.
· Partner with the Caregiver Manager or Office Manager to identify recurring coverage gaps and Hire for the Void.
· Assist with caregiver-file maintenance, including tracking licensing, insurance, and other expirations in WellSky; collect updated documents and escalate missing items.
· Audit timecards regularly to confirm that worked hours match scheduled hours and promptly investigate discrepancies.
Qualifications· At least one year of experience in staffing, recruiting, scheduling, dispatching, or another coordination-intensive role.
· Professional customer-service experience, ideally in a phone-intensive environment where priorities change quickly and the customer experience must remain the first consideration.
· Comfort using multi-line phone systems,
managing several active conversations, and maintaining patience and professionalism throughout the day.
· A consistently upbeat, approachable, and assertive communication style with the confidence to make decisions and move issues to resolution.
· Exceptional problem-solving ability, including the creativity to think beyond the obvious answer when a schedule does not fit together easily.
· Exceptional communication is one of this role's highest priorities: listen for understanding, ask thoughtful questions, provide clear and accurate information, and ensure the message was understood.
· A collaborative working style that brings the right people together, welcomes ideas, and turns shared information into practical action.
· Excellent organization and attention to detail, with the ability to shift priorities, multitask, and work independently without losing follow-through.
· Working knowledge of general healthcare staffing requirements and the discretion to handle sensitive client and employee information.

Work EnvironmentThis is a fast-moving, high-contact office role that requires substantial time on the telephone and frequent coordination across clients, caregivers, and internal team members. The Scheduling Coordinator must respond to urgent changes while protecting the customer experience, communicating exceptionally well, and using creativity and collaboration to reach the best workable solution.
