CASE MANAGER | Bilingual English and Spanish

Hammack Law Firm is seeking a compassionate, highly organized Case Manager to serve as a primary point of contact for personal injury clients throughout the treatment phase of their cases. This is a hands-on, client-facing role for someone who can build trust with people while managing the detailed administrative work that keeps cases moving forward.

The right person will be equally comfortable meeting and speaking with clients, following up with medical providers, and entering, uploading, and organizing documents in our case-management systems. Strong multitasking, accuracy, responsiveness, and follow-through are essential.

What you will do

· Serve as a consistent, compassionate point of contact for clients during the treatment phase of their personal injury cases.

· Meet with clients, explain the case process, set clear expectations, answer routine questions, and ensure clients feel informed and supported.

· Maintain regular, proactive client communication by phone, email, text, and in-person meetings, documenting every meaningful interaction.

· Enter, upload, label, and organize case information and documents accurately in Filevine and Lead Docket.

· Prepare and send documents for electronic signature through Vinesign, monitor completion, and follow up promptly when needed.

· Track medical treatment, appointments, provider updates, case milestones, deadlines, and next steps across multiple active matters.

· Review files for missing information, incomplete documentation, or stalled activity and address or escalate concerns early.

· Support intake by helping screen leads, schedule and facilitate appointments, and maintain accurate statuses, notes, and follow-up tasks in Lead Docket.

· Partner closely with attorneys, paralegals, the medical-records team, and the Director of Client Acquisition to ensure a smooth client experience and efficient case progression.

· Strong written and verbal communication skills, including the ability to explain information clearly and manage expectations appropriately.

· High attention to detail and a consistent commitment to accurate, thorough, and timely documentation.

· Comfort learning and working in technology platforms; experience with Filevine, Lead Docket, and Vinesign is strongly preferred.

· A proactive, solutions-oriented mindset and the judgment to recognize when a case issue needs to be escalated.

· The ability to take ownership of outcomes, collaborate well with a team, and follow established processes.

· Personal injury, legal, medical-office, case-management, or other high-touch client-service experience is preferred.

· Bilingual in English and Spanish is preferred.

· General knowledge of personal injury claims, insurance, and liability factors is a plus.

What success looks like

· Clients receive proactive communication, understand what is happening, and feel cared for throughout the process.

· Case notes, contact logs, documents, tasks, and statuses are accurate, organized, and current.

· Medical treatment and supporting documentation are tracked thoroughly, with missing items identified and addressed promptly.

· Leads and intake appointments are supported quickly, with complete and reliable Lead Docket activity.
