This is not a COO seat. It is a hands-on operator role for someone who moves quickly, follows through relentlessly, and takes a mountain of backend execution off the founder’s plate. You will have real ownership in your lane; Yahya sets direction and makes the final calls.
About Yellow House SystemsYellow House Systems is a full-stack marketing agency that runs entire marketing departments for coaching companies, including Airbnb, trading and hypnosis coaches. We are building an AI-first operating machine that gives the founder and team more speed, clarity and leverage. The Role
Your mission is to run the backend at a savage standard: internal operations, project management, team accountability, automations and systems. You will turn messy ideas into dashboards, workflows and shipped outcomes so the founder can stay focused on vision, sales and growth. You are a player-coach, not an executive who delegates from the sidelines. One day you may be building a dashboard; the next, fixing a GHL automation, tightening a client-success cadence or building a hiring ramp-up.
What You’ll Own1. Systems, Automations & Execution
- Own and maintain the Command Center: project management, data, task tracking, forms and SOPs.
- Run the internal project board so every active project has an owner, deadline, status and clear follow-through.
- Personally build automations for manual or error-prone processes using tools such as Make, Zapier, n8n, GoHighLevel and AI tools.
- Build and maintain weekly leadership dashboards for specialist performance, client satisfaction, pipeline and revenue.
- Document repeatable workflows across onboarding, placements, coaching cadence, client handoffs and billing.
- Execute the founder’s operations priorities—from PM cleanup and data accuracy to tool migrations and churned-client sequences—and report progress daily.
- Coordinate with Sales and Client Success on capacity and delivery planning.
2.
Backend Team Management & Accountability
- Manage the backend operations team across ops VAs, billing, tech ops and onboarding with clear KPIs and regular 1:1s.
- Coach Client Success on cadence and accountability.
- Run Monday planning, daily standups and Friday debrief/accountability reviews.
- Prepare and run the logistics for the operating and OKR rhythm set by the founder; track every commitment through to completion.
- Manage the AI development workflow: task assignment, QA and delivery timelines.
- Spot underperformance or risks early and escalate them before they become problems.
3. Hiring Ramp-Ups, Boot Camps & SOPs
- Build and maintain role-specific three-day boot camps with training modules and pass/fail assessments.
- Design onboarding flows that make new hires productive in their first week.
- Own, improve and enforce the SOP library across the company.
- Coordinate with hiring and recruiting on pipeline capacity and quality of hire.
- Build the specialist training curriculum for placed AI specialists: modules, SOPs and templates.
What Success Looks Like
Timeframe
Outcome
First 60 days
The founder spends less than five hours per week on internal operations; each active role has a boot camp/ramp-up program.
First 90 days
Every repeatable workflow is documented; new automations save 20+ hours per month; active projects are tracked with owner, deadline and status.
Ongoing
Daily EODs ship without reminders; at least one internal improvement ships each week; assigned task completion stays at 85%+ on or before deadline; internal dashboards, Command Center and reporting tools remain operational 99%+ of the time.
How You’ll Work
- Monday: review project boards, dashboards and team KPIs; run planning and backend-team standup.
- Tuesday–Thursday: clear blockers, QA output, build systems and automations, update projects,
and run rotating accountability 1:1s.
- Friday: send an operations report, review planned vs. shipped work, update SOPs and plan the next week.
- Every workday: send an EOD, respond to team questions within two hours during working hours and escalate critical issues within 30 minutes.
Who We’re Looking For
- Someone who has managed at least three people simultaneously in a remote environment.
- A hands-on operator who can walk through a system, SOP or dashboard they built end-to-end—not just one they assisted with.
- Practical AI fluency: you have used Claude, ChatGPT or similar tools in a real workflow and can connect systems through automation platforms.
- Strong marketing and operations literacy, including funnels, paid acquisition, lead flow, client delivery, CRM/automation tools and reporting.
- Comfortable in high-ticket online business—or demonstrably quick to learn the language of cash-per-call, show rates and setter/closer economics.
- A proactive, direct communicator who brings the problem and the proposed solution.
- Hungry, coachable and energized by a fast-paced build phase rather than looking for a low-intensity landing spot.
Non-Negotiables
- Full-time and all-in: no side clients, freelance work or split attention.
- Genuine availability during 9 AM–6 PM ET core hours, verified during the interview.
- Compensation expectations that fit the $3,500–$6,000/month base range.
- Comfort with daily EODs, check-ins, follow-ups, standups and leadership syncs as a permanent operating standard.
- You want to execute a founder-led playbook—not negotiate a COO title, partnership or equity before proving output.
- Total honesty about work history, current commitments and references. Misrepresentation is an automatic no.
Compensation & Upside
- Base: $3,500–$6,000/month, calibrated to experience.
- First 30 days: paid working trial with clear deliverables on both sides.
- Review: performance ramp reviewed at 90 days.
- Upside: a path to a percentage of net growth as ownership and output are proven.
- Payment: paid monthly in arrears on standard payroll; no advances or upfront payments of future months.
