The Qualifications We Seek
- 3 to 5 years of relevant professional experience
- Ability to manage multiple priorities while maintaining accuracy and organization
- Experience in bookkeeping or property management administration, preferred
- Familiarity with property management and accounting software; experience with DoorLoop is a plus
- Strong organizational and communication skills
- Strong attention to detail and consistent follow-through
Your Daily Tasks
- Own the accuracy and completeness of DoorLoop records, including tenant information, leases, unit statuses, recurring charges, work orders, documents, and reports
- Manage bookkeeping functions, including accounts receivable (A/R),
accounts payable (A/P), tenant ledgers, vendor bills, bank and credit card reconciliations, deposits, and month-end close support
- Prepare and maintain delinquency reports, rent rolls, A/R reports, A/P reports, and other recurring management reports
- Research and correct accounting discrepancies
- Receive and document all tenant maintenance requests, confirm required details, dispatch internal maintenance teams, and coordinate appointment schedules and tenant communications
- Coordinate outside-vendor schedules after vendor selection and approval by the Property Manager
- Track vendor invoices, documentation, and follow-ups
- Maintain organized tenant, vendor, lease, accounting, and maintenance records, including W-9s, certificates of insurance (COIs), receipts, photos, and supporting documentation
- Provide first-line administrative support to tenants for routine ledger, payment, portal, scheduling, and general account inquiries
- Escalate substantive tenant issues as needed
- Support move-ins, renewals, move-outs, security deposit accounting, recurring charge setup, and related back-office workflows
