We are looking for a detail-oriented Compliance & Carrier Documentation Specialist to support the onboarding, auditing, and ongoing compliance of motor carrier contractors.

The main focus of this role is reviewing, validating, maintaining, and auditing carrier documentation to ensure all required information remains accurate, complete, and compliant with company standards.

The idóneo candidate has strong experience working with documentation, audits, data verification, and administrative processes, along with excellent follow-up and communication skills.

Key Responsibilities

- Review and verify required documentation for new and existing motor carriers.
- Manage and support the end-to-end carrier onboarding process.
- Review and validate Certificates of Insurance (COI) and Declaration Pages.
- Track insurance documentation, renewals, updates, and reactivation requirements.
- Request and follow up on background checks and Motor Vehicle Record (MVR) screenings.
- Review background and MVR results according to company compliance requirements.
- Maintain accurate carrier and driver information across TMS platforms and other systems.
- Perform ongoing audits to ensure driver and carrier documentation remains current and compliant.
- Conduct daily operational audits and identify documentation or certification discrepancies.
- Follow up with internal teams, carriers,



and other stakeholders to resolve missing or incomplete documentation.
- Manage communication related to carrier compliance, insurance, documentation, and onboarding.
- Maintain organized records and provide documentation related to incidents or occurrences that may create company liability.
- Support compliance-related projects and process improvements.
- Assist with developing and improving SOPs and compliance procedures.
- Perform other duties as assigned.

Requirements

- Previous experience working with documentation, document verification, auditing, or compliance processes is highly important.
- Experience in logistics, transportation, freight brokerage, carrier management, or a related industry is preferred.
- Strong attention to detail and accuracy when reviewing documentation.
- Excellent organizational and follow-up skills.
- Ability to identify missing, inaccurate, or expired documentation.
- Strong written and verbal communication skills.
- Ability to manage multiple cases, documents, and deadlines simultaneously.
- Strong administrative and record-keeping skills.
- Ability to work independently and follow established procedures.
- Analytical and problem-solving skills.
- Ability to communicate professionally with internal teams and external carriers.
- English level: B2–C1.
